Job Summary

Mountain Projects is seeking a detail-oriented and organized Document Administrator to manage the creation organization maintenance and retrieval of company documents and records. The successful candidate will ensure all documentation is accurate secure and readily accessible while supporting efficient business operations and maintaining compliance with company policies and recordkeeping standards.
Key Responsibilities

  • Manage the receipt organization storage and maintenance of electronic and physical documents.
  • Review documents for accuracy completeness and proper formatting before filing or distribution.
  • Maintain document control procedures and ensure records are current and properly archived.
  • Scan index and upload documents into the companys document management system.
  • Retrieve documents and records in response to internal requests.
  • Monitor document version control and maintain accurate revision histories.
  • Ensure confidential and sensitive information is handled securely and in accordance with company policies.
  • Conduct periodic audits of files and records to ensure accuracy and compliance.
  • Assist in developing and maintaining document management procedures and best practices.
  • Support administrative projects and perform other duties as assigned.

Qualifications

  • High school diploma or equivalent required; associate degree or higher preferred.
  • Previous experience in document administration records management office administration or a related role preferred.
  • Proficiency in Microsoft Office Suite including Word Excel Outlook and Adobe Acrobat.
  • Experience with electronic document management systems (EDMS) is an advantage.
  • Strong attention to detail and excellent organizational skills.
  • Excellent written and verbal communication skills.
  • Strong data entry and document processing accuracy.
  • Ability to prioritize multiple tasks and meet deadlines.
  • Ability to work independently and collaboratively in a team environment.

  • Knowledge of document control and records retention practices.
  • Experience maintaining confidential business records.
  • Strong analytical and problem-solving abilities.
  • Ability to quickly learn new software and document management systems.
  • Excellent time management and multitasking skills.
