Job Summary

The Development Operations Coordinator provides essential administrative and operational support to iMentors Development team. Reporting to the Vice President of Philanthropy & Development Operations this role is responsible for maintaining accurate fundraising data processing philanthropic gifts supporting donor acknowledgments and reporting and ensuring that Development staff have the timely and reliable information they need to effectively manage donor relationships and fundraising activity.

The Coordinator will work extensively within Salesforce and other fundraising platforms to maintain strong data integrity and execute the day-to-day processes that keep the Development department running smoothly. This role is ideal for someone who enjoys detailed database work takes pride in accuracy and organization and finds satisfaction in providing excellent service and operational support to colleagues and donors.

The Coordinator will work extensively within Salesforce and other fundraising platforms and will also serve as a close partner to external relations leaders in building strong team culture and coordinating department-level meetings and communications.

Gift Processing and Administration
  • Process philanthropic gifts and pledges accurately and promptly including gifts received by check EFT stock donor-advised fund matching gift and through other giving vehicles.
  • Maintain complete and accurate gift pledge payment and donor information in Salesforce.
  • Prepare and process timely donor acknowledgment letters receipts and other gift-related correspondence.
  • Maintain accurate pledge schedules and payment information and support relationship managers with upcoming pledge payment reminders and follow-up.
  • Ensure corporate matching and volunteer donations and other specialized gift types are recorded accurately and include the appropriate donor and organizational information.
  • Produce regular gift reports and documentation work closely with Finance to research and resolve gift discrepancies and support accurate reconciliation of philanthropic revenue.
  • Identify and support opportunities to improve gift processing acknowledgment and reconciliation workflows.
  • Process Development team invoices expense documentation and American Express reports.
CRM and Data Integrity
  • Maintain accurate and up-to-date donor prospect organization gift opportunity contact and engagement information in Salesforce.
  • Conduct routine data-quality reviews and cleanup to identify missing duplicate outdated or inconsistent constituent information.
  • Ensure relationship managers have current contact information giving history engagement records and other relevant data needed to effectively manage donor relationships.
  • Help troubleshoot routine Salesforce questions for Development team members.
  • Partner with appropriate internal staff when technical Salesforce changes or more complex database support are required.
Reporting and Development Team Support
  • Generate recurring and ad hoc fundraising reports lists data exports and invitation solicitation mailing stewardship donor and prospect lists based on team needs.
  • Monitor shared Development communications including the departments general email inbox and ensure inquiries are routed and addressed appropriately.
  • Provide administrative support for department-wide projects and activities in a timely and service-oriented manner as needed.
  • Conduct preliminary donor and prospect research and prepare profiles on an ad hoc basis to support relationship managers and organizational leadership.
Events & Campaign Administration
  • Create and maintain fundraising and event pages within GoFundMe Pro including the administrative infrastructure necessary to launch campaigns.
  • Maintain accurate campaign participant registration donor attendance and engagement information across fundraising platforms and Salesforce.
  • Produce event and campaign progress reports and support post-event or post-campaign data reconciliation and reporting.
  • Support the Development team with other administrative event and campaign needs as assigned.
Qualifications
  • 14 years of experience in nonprofit administration development operations fundraising administration database management customer service or a related role.
  • Experience working regularly in a CRM or database environment; Salesforce experience strongly preferred.
  • Experience with nonprofit gift processing donor databases fundraising operations or financial reconciliation preferred.
  • Strong attention to detail excellent organizational skills and a demonstrated commitment to data accuracy.
  • Strong customer-service orientation and genuine enjoyment of supporting colleagues and responding to requests thoughtfully and efficiently.
  • Ability to work carefully with confidential donor and financial information and exercise sound judgment and discretion.
  • Comfort working with Microsoft Excel and other common office and productivity tools and ability to learn and work within fundraising and technology platforms such as Salesforce and GoFundMe Pro.
  • Strong written and verbal communication skills reliability follow-through and the ability to work independently while collaborating effectively across teams.
