Job Summary

We are seeking a motivated organized and detail-oriented Data Operations Assistant to join our remote team. This entry-level position supports daily business operations through data entry record maintenance document processing reporting and general administrative assistance.

The successful candidate will help maintain accurate business information update spreadsheets and internal systems review records track routine assignments and support operational workflows across the organization.

Previous professional experience is not required. Training and guidance will be provided to qualified candidates.

Key Responsibilities
Data Entry & Maintenance
  • Enter and update information in spreadsheets databases and internal systems.

  • Review records for accuracy completeness and consistency.

  • Transfer information from approved documents into company systems.

  • Maintain accurate and current digital records.

  • Identify missing duplicate or incorrect information.

  • Correct routine errors when authorized.

  • Perform basic data-quality checks.

  • Follow established data-entry and recordkeeping procedures.

  • Maintain organized tracking logs and spreadsheets.

Operations Support
  • Assist with routine operational activities and administrative workflows.

  • Track assignments deadlines requests and outstanding action items.

  • Update project and operational trackers.

  • Monitor the status of routine tasks and provide updates when requested.

  • Coordinate information between team members and departments.

  • Assist with processing routine operational requests.

  • Help maintain internal procedures and reference materials.

  • Escalate incomplete information or operational issues appropriately.

Administrative Support
  • Provide general administrative assistance to managers and team members.

  • Prepare organize and update routine documents.

  • Maintain electronic folders shared files and administrative records.

  • Process forms and internal documentation.

  • Update contact lists administrative logs and tracking documents.

  • Monitor shared inboxes or communication channels when assigned.

  • Route information and requests to appropriate team members.

  • Assist with additional administrative projects as needed.

Reporting & Quality Control
  • Compile information for routine reports and summaries.

  • Update reports using established company templates.

  • Review information for obvious errors or inconsistencies.

  • Compare records across approved sources when necessary.

  • Perform routine quality checks on completed work.

  • Flag missing or questionable information for review.

  • Help ensure business information remains accurate and up to date.

Document Management
  • Upload label organize and archive digital documents.

  • Maintain electronic filing systems.

  • Follow established file-naming and storage procedures.

  • Retrieve authorized documents when requested.

  • Maintain document indexes and administrative logs.

  • Organize templates forms procedures and reference materials.

  • Handle confidential documents responsibly.

Communication & Team Coordination
  • Communicate professionally through email chat and virtual meetings.

  • Respond to routine internal inquiries.

  • Provide status updates on assigned responsibilities.

  • Request clarification when instructions or information are incomplete.

  • Coordinate with colleagues to resolve routine data or documentation issues.

  • Maintain professional and timely communication in a remote environment.

Required Qualifications
