JOB SUMMARY:
The Data Entry Worker and Administration Aid provides critical support to Home Visiting the Partner Network and Kove. Data Entry Worker and Administration Aid is responsible for developing and maintaining systems for the smooth functioning of the Archers sites including data entry. Finally Data Entry Worker will provide administrative support to home visiting the partner network and Kove.
DUTIES AND RESPONSIBILITIES:
Data Entry
- Ensures entry of required data into Salesforce database including parent questionnaires pre/post surveys including developmental screenings home visits and parent-teacher conferences. Monitors to ensure data accuracy.
- Enters or modify data into Salesforce databases under guidance of the program coordinators.
- Review in-kind records to ensure accuracy and provide technical assistance to address errors and miscalculations.
- Accurately enter in-kind documentation into COPA and submit it to the finance department in a timely manner.
- Maintain Family Engagement binders and family engagement master calendar.
- Perform other data entry as needed.
Administrative Support
- Assists in preparing documentation for audits including independent and government reviews.
- Maintain organization and security of files for all home visiting and partner network children.
- Greets and receives visitors and ensures that they are referred to appropriate site personnel. Always adheres to site security procedures.
- Answers all phone calls and directs calls to appropriate site personnel. Documents all calls from prospective families for all programs and submits written information immediately to appropriate staff.
- Receives and directs all incoming mail. Prepares and sends outgoing mail with inter-site mail via assigned staff.
- Performs clerical tasks as assigned including copying laminating ordering of supplies filing and other tasks as assigned.
- Responsible for maintaining inventory of office supplies signing out equipment and office and kitchen supplies to staff members.
- Responsible for office equipment use requests and coordinates emergency and regular maintenance on the equipment.
- Maintains accurate files including check requests purchase orders and meeting registers.
- Prepares letters check requests flyers forms and other documents as requested.
- Responsible to place snack orders/socialization meal orders
In addition to the responsibilities listed above all Gads Hill Center employees are responsible for the following:
- Participate in agency outreach and recruitment events including evenings and weekends.
- Participates in supervision meetings and workshops within the agency and outside (if applicable).
- Participates in civic engagement activities that advance the mission of Gads Hill Center.
- Advance parent leadership development.
- Performs other duties as assigned.
QUALIFICATIONS:
- High school diploma required. Associate degree and experience in a non-profit environment preferred.
- Must be proficient in Microsoft Excel and Word.
- Previous Head Start program experience preferred.
- Bi-lingual Spanish/English required.
- Excellent interpersonal communication and organization skills.
- Ability to pass a criminal record and child abuse/neglect registry check.
- A passion for the mission of Gads Hill Center.
POSITION DETAILS:
Entry Rate: $17-$21/hr
Schedule: Full time
Status: Hourly
Location: 4234-4236 S. Archer and other agency locations as required
