Job Summary

Position SummaryThe Coordinator Corporate Affairs supports the Dr. Phillips Centers mission-driven initiatives by managing administrative operational and engagement tasks that enhance brand visibility stakeholder relations and strategic communications. This role plays a key part in maintaining department data optimizing reporting tools supporting civic and community partnerships and coordinating logistics for a variety of institutional initiatives. The coordinator will work cross-functionally with internal departments and external stakeholders to ensure excellence in communication brand consistency and project execution. This position requires attention to detail strong communication skills and a passion for community engagement and the performing JOB FUNCTIONS/RESPONSIBILITIESMaintain department data and optimize technology platforms to provide timely and informative reporting to senior leaders board committees and other internal/external key organizational work that advances the brand and mission of the Dr. Phillips may include project requests BEO requests guest lists RSVPs & seating arrangements brand consistency across all communications & the Senior Manager Corporate Affairs and Manager Community Engagement on mission driven initiatives including Community Givebacks Donation Programs Surprise & Delight Program and other projects as Arts & Wellness programming by participant outreach internal coordination including reserving space instruments F&B needs government affairs initiatives including but not limited to invitations email communications letters of support and association logistics for meetings public speaking engagements board events and other special projects led by Corporate compile materials for community presentations and stakeholder events (e.g. fact sheets talking points visual assets).Maintain and update stakeholder contact lists for holiday cards holiday gifts appreciation gifts newsletters special event invitations DPC initiatives campaigns and community givebacks to include community leaders elected officials Board of Directors Arts & Wellness and maintain accurate information like memberships in department specific database check requests and process invoices for initiatives like community giveback STROKESTRA VA programming preparation; agendas parking accommodation welcome signageCollaborate with marketing public relations and creative teams to ensure that brand messaging and positioning is relevant engaging timely and reflects the centers strategic vision for inclusion diversity equity and accessibility. This includes updating community and chamber newsletters and calendars canvassing and Dr. Phillips Center community and external facing groups including board committees stakeholder groups etc. Follow and support all operational policies and procedures. Assimilate into the arts center culture through understanding supporting and demonstrating the core values. Maintain a professional and friendly relationship with other departments colleagues and partners. Able to remain calm under pressure. Ability to work effectively with internal and external customers some of whom will require high levels of patience tact and diplomacy. Maintain Dr. Phillips Center standards of customer service at all to effectively communicate in English in both written and oral duties as and ExperienceBachelors degree and/or a minimum of 2 years of experience in a coordination administrative or community engagement role preferably in a nonprofit cultural or public affairs setting. Strong organizational skills with the ability to manage multiple tasks priorities and written and verbal communication skills; able to craft professional correspondence and contribute to presentations and stakeholder in Microsoft Office Suite (Word Excel PowerPoint Outlook); experience with CRM platforms or stakeholder databases a ability to maintain accurate records prepare reports and support event attention to detail and accuracy in tracking communications guest lists contact databases and invoice interpersonal skills with the ability to work collaboratively across departments and build relationships with external interacting with a wide range of individuals including donors board members elected officials and community discretion and customer service orientation Conditions of employmentThis position requires the ability to work a variable schedule evenings weekends and holidays to meet operational needs.
