Job Summary
Function:The Census Secretary is responsible for complex confidential clerical support that requires the ability to work in an independent responsible and professional manner. This position ensures smooth and efficient operations in the Technology Department. The Census Secretary reports directly to the Chief Operating Officer or designee with directives from the Director of Special Education. Essential Functions:Responsible for maintaining the Special Education Census information for the RI Department of Education and running reports as needed. Attends RIDE training required to maintain the census. Maintains evaluation team logs on all elementary schools and prepares folders/paperwork for case managers for team meetings. Responsible for supplying or copying all necessary forms for the Special Education Department. Assisting case managers and other service providers requiring student information from Special Education files. Processes releases to doctors parents and agencies whenever necessary. Processes all Spanish and independent evaluations for elementary and secondary schools. Mails out authorization forms processed through team meetings requesting information from doctors agencies etc. Files all Special Education information in individual files for all elementary and secondary students. Responsible for the annual purging and shredding of student records as directed. Covers for the Special Education Secretary when needed. Registers Elementary students with IEPs and new students to the district. (Central Registration) Assists with data department tasks as with digitization of the record keeping other general duties as may be assigned by the Chief Operating Officer or the Director of Special Education. Critical Skills Experience and Knowledge:Demonstrates the ability to maintain the ability to work in a fast-paced environment and adapt to shifting strong customer service skills and the ability to interact patiently and positively. Ability to prepare and maintain accurate records and to establish and maintain cooperative working relations with the general public and strong communication skills orally and in writing. Ability to understand and follow oral and written instructionsAbility to work accurately and efficiently with attention to detail while following established to work independently and demonstrate strong decision-making skills.Minimum Required Qualifications:High School Diploma or GEDAt least five years administrative experience in an office environment or two years of business education with three years administrative experience. Proficiency in using computer-based systems including but not limited to Google and Microsoft products. Ability to pass a clerical test with a score of 70 or higherPreferred Qualifications: Previous experience in a school-based environmentAssociates degree Valid drivers license and reliable transportation.
