Position Overview: As an Office Manager/Scheduling Coordinator you will play a crucial role in coordinating caregiver schedules maintaining attendance records and optimizing operational efficiency. This position requires a motivated individual who is highly organized intuitive and capable of working both independently and collaboratively.

Responsibilities:

  • Coordinate caregiver placements to meet client needs effectively.

  • Maintain and update monthly schedules for all services.

  • Post and fill open shifts promptly and efficiently.

  • Communicate regularly with staff regarding scheduling availability and assignments.

  • Manage phone calls professionally and empathetically ensuring excellent customer service.

  • Document all scheduling activities accurately in our system.

  • Assist in screening and selecting caregivers.

  • Develop and implement strategies to enhance staff retention.

  • Assist with compliance requirements for caregivers.

  • Support HR functions including Benefits Credentialing Compliance and Orientation.

  • Ensure adherence to federal and state employment regulations including I-9 and Wage Theft Protection Act.

  • Aid in the annual benefits open enrollment process.

  • Maintain confidentiality and privacy with respect and dignity.

  • Provide support to the team as needed.

Skills and Qualifications:

  • Fluent in conversational Spanish.

  • Previous experience in scheduling preferred.

  • Strong customer service skills particularly over the phone.

  • Proficient in computer applications.

  • Exceptional organizational abilities and attention to detail.

  • Ability to thrive in a fast-paced environment and manage deadlines effectively.
