ASSOCIATION SYSTEMS SPECIALIST

We are looking for an Association Systems Specialist to support the associations managed by Etherio. This role delivers dedicated technical support for association management systems (AMS) member databases and client websites - the systems association staff use every day to serve members run conferences and report to their boards. You will hold administrator access in client platforms and work directly with client staff software vendors and implementation consultants to resolve issues and improve how those systems work together.

This is an applications and data role rather than a help desk role. The successful candidate will thrive in a dynamic environment supporting platform conversions data governance reporting and integrations across a portfolio of association clients. You will be part of a supportive and experienced technology team whose members independently devise the best strategies and resources to achieve business objectives demonstrating strong analytical and problem-solving abilities.

ESSENTIAL FUNCTIONS

  • Serve as system administrator for assigned client association management systems (e.g. MemberSuite iMIS or similar) including configuration user and role administration and periodic access reviews.

  • Coordinate access provisioning and removal with client staff and vendors and maintain a current inventory of administrative credentials.

  • Build and maintain queries reports dashboards and data extracts for client staff boards and Etherio account teams.

  • Own data integrity within client databases: duplicate identification and merge rules membership and event record hygiene batch imports and exports and validation of converted data.

  • Triage platform defects and configuration issues; open track and escalate tickets with software vendors through resolution rather than handing them off.

  • Document solutions for issues likely to recur so that client teams become increasingly capable of resolving questions that do not require technical expertise.

  • Administer and maintain client websites built on WordPress and similar content management systems plugins themes forms user roles backups and update cadence coordinating content and design changes with communications staff and web vendors.

  • Support single sign-on and data flow between the AMS website learning management abstract and conference platforms and maintain those integrations using API interfaces where required.

  • Provide technical support to client data governance efforts including data definitions system of record designation ownership retention access and reporting standards.

  • Lead file storage transitions from legacy on-premises drives and personal cloud accounts to SharePoint Online including structure design permissions model migration execution and staff adoption.

  • Support platform evaluations and RFPs for association software (AMS CMS LMS event and email platforms) requirements gathering scoring criteria demo evaluation and reference checks.

  • Serve as the day-to-day technical counterpart to client software vendors and implementation consultants holding them accountable to committed scope timelines and deliverables.

  • Provide hands-on support through go-live and stabilization: cutover checklists validation testing issue triage and post-launch support coverage.

  • Deliver practical enablement to client staff learning new systems including short training sessions and quick-reference materials.

  • Track time and activity against contracted client service hours and flag scope changes or hour consumption risk early.

  • Contribute capacity across the broader Etherio technology portfolio including application support standards work and technology onboarding for newly signed and newly acquired organizations.

  • Become a self-directed learner: you will receive assignments in the form of business objectives and then determine the best approach resources technology schedules and goals.

MINIMUM AND PREFERRED QUALIFICATIONS

Minimum Requirements:

  • Bachelors degree in information technology information systems computer science or a related field (or equivalent experience and certifications)

  • At least 4-6 years administering an association management system CRM or comparable membership or constituent database

  • Technical skills

  • Familiarity with database management (e.g. SQL) and platform-native query tools for maintaining extracting and optimizing data within systems

  • Experience with data conversion and migration between platforms including record mapping and post-conversion validation

  • Working knowledge of languages and tools related to web development such as:

  • HTML CSS & JavaScript

  • WordPress or other Content Management Systems

  • Working knowledge of Microsoft 365 and SharePoint Online including document library structure and permissions

  • Direct experience managing software vendors and implementation consultants

  • Quick eager learner of new software applications

  • Strong critical thinking and problem-solving skills excellent communication skills and upbeat personality

  • Excellent customer service skills including written and verbal communication as well as strong follow up with the ability to translate between non-technical staff and technical vendors

  • Good time management skills are a must as multiple projects and clients are worked on concurrently

  • Comfort operating in a role where requirements continue to take shape as client environments are assessed

  • Ability to travel occasionally to support client on-site needs and platform go-lives

Additional Preferred Qualifications

  • Hands-on experience with association management systems (i.e. MemberSuite iMIS YourMembership MemberClicks or similar) particularly migration from one platform to another

  • Experience supporting association or nonprofit operations incuding grant-funded programs and multi-entity structures (for example a 501(c)(3) foundation alongside a related 501(c)(6) organization)

  • Experience integrating technology solutions and platforms using custom coding solutions (REST API) middleware or iPaaS tooling

  • Experience supporting learning management abstract management and event technology platforms (i.e. Stova Cvent Higher Logic or event mobile applications)

  • Familiarity with identity and single sign-on standards (Microsoft Entra ID SAML OAuth)

  • Prior data governance or data stewardship experience including support of a staff or board-level governance committee

  • Certifications in relevant association or event technologies

WORKPLACE LOCATION REQUIREMENTS

We operate as a Hybrid work environment working as a combination of remote and in-office presence as well as the possibility of being onsite at client and/or event locations.

SCHEDULING REQUIREMENTS

Requires flexibility in scheduling such as the ability to work evenings and weekends to meet client event or company needs.

  • Frequently uses computers and other electronic equipment.
