Ripple Effect is seeking an Associate EventPlannerto support mission-driven programs through the planning and execution ofmeetings andeventsand related administrative activities. Working closely with the Communications and Outreach team thisentry-levelroleassistsmultiple partnerswithpre-production logistics documentation participant communications and on-site execution including audio/visual and technical support whilecontributing to cross-functional planning efforts that advance Ripple Effects work.

Responsibilities

  • Support theplanning and execution of meetings and events including pre-production on-site delivery and post-event wrap-up activities
  • Collaborate closely with the Communications and Outreach teamand other project stafftocomplete assigned event and administrative tasks andensure events align with organizational goals messaging and client objectives
  • Coordinate eventlogistics including venueresearch andselection registration travel catering materialsshippingand on-site staffing
  • Supportaudio/visual technical and hybrid/virtual event requirements by working with internal teams vendors and external partners
  • Assistwith developingandmaintainingdetailed event plans checklists timelines run-of-show documents and contingency plans
  • Supportcommunicationswithevent stakeholders partners vendors and service providers throughout the planning processunder the guidance of the event or project lead
  • Support cross-functional coordination byassistingwith related tasks such as content development speaker managementparticipant communications scheduling meeting materials note taking action-item tracking and file organization
  • Take ownership of assigned tasksfollow through and providetimelyupdates on progress or roadblocks.


Requirements

Minimum Education and Experience:

  • Bachelors Degree

Basic Requirements:

  • Able to work in a fast-paced environment manage multiple priorities meet deadlinesandcommunicate early whenprioritiesortimelinesconflict.
  • Detail oriented with strong organizational skills includingtheability tomaintaintrackers checklists files notesandstatusupdatesfor staff and leadership.
  • Interestin learning how to coordinatein-person virtual and hybrid events including the use of virtual meeting software ( and Teams).Experience through work internships school volunteer activities hospitality or customer service is helpful but notrequired.
  • Excellent verbal andclear professionalwrittencommunicationskills forinteractions with clients (including event speakers and attendees)coworkers and leadership.
  • Basicexperience with Microsoft Office productivity software and collaboration tools such as Excel Microsoft Teamsand SharePoint.
  • Willingnesstolearnproject andeventmanagement and design software such as Microsoft Planner Microsoft Project and AdobeCreative Suite.
  • Resourceful self-starter who is willing to research unfamiliar tasks propose a practical 90% solution and seek guidance when needed.
  • Ability toassistwitheventsetupandteardownand carry or maneuver event materialswithorwithoutreasonable accommodation. Some items may weigh upto50pounds.
  • Ability to attend onsite meetings on a regular basis in the DC Metro area.

Skills That Set You Apart:

  • Certificate in event management such as CGMP or CMP.
  • Knowledge of event management platforms such as Cvent or Bizzabo.
  • Experience working with FACA committees and familiarity with requirements.
  • BasicknowledgeofAI tools including their limitations and risks and how they can be appliedto support event coordination tasks.
