Job Summary
SUMMARY
The Area Operator (AO) reports directly to the Chief Operating Officer (COO). The AO is responsible for overseeing the operational performance growth and development of assigned service areas while ensuring alignment with the companys mission vision and values.
The AO provides strategic leadership to Associate Directors managers and frontline leadership by establishing operational systems developing infrastructure and ensuring accountability across all programs including Day Treatment Residential Community-Based Services and ABA services. The AO works collaboratively with executive leadership to develop sustainable systems that support organizational growth operational excellence and high-quality client care.
The AO is responsible for implementing company initiatives across assigned locations building strong relationships with internal and external stakeholders supporting business development efforts and ensuring compliance with state regulations contractual requirements and organizational standards. This position serves as a liaison between executive leadership and operational teams helping standardize processes and streamline systems throughout the organization. Areas of responsibility may change based on organizational growth and business needs.
This position does not have a productivity standard but will be held accountable for operational performance organizational growth increased direct service hours and key performance indicators established quarterly by executive leadership.
ESSENTIAL DUTIES AND RESPONSIBILITIES include but not limited to
Build infrastructure and operational systems that support organizational growth scalability and development of new programs positions and specialty roles.
Ensure adherence to company policies procedures contractual obligations and strategic organizational goals.
Create and maintain strong relationships with community stakeholders referral sources funding agencies and industry leaders.
Represent the organization professionally within the community and promote the companys mission and services.
Provide operational leadership sound decision-making coaching and mentorship to Associate Directors Office managers leadership and admin teams.
Hold Clinical Directors and clinicians accountable for all clinical treatment in their area and compliance to these treatment plans.
Collaborate with the COO and executive leadership to establish and execute short-term and long-term operational goals.
Create systems workflows and performance standards that hold leadership accountable for operational excellence infrastructure documentation compliance productivity and growth.
Develop and revise job descriptions as organizational needs evolve.
Partner with the Systems Manager to address productivity concerns documentation compliance missed deadlines and overtime management while implementing corrective action plans when needed.
Train leadership and frontline staff on administrative processes operational systems company policies infrastructure and organizational expectations.
Collaborate with Clinical Directors clinicians and billing teams regarding authorization and preauthorization processes client prioritization and operational workflows.
Foster a positive organizational culture through staff development leadership coaching mentoring and accountability.
Work alongside executive leadership to diversify funding sources negotiate contracts develop partnerships and support expansion into new service areas.
Participate in business development initiatives that strengthen community partnerships and increase referral opportunities.
Lead and participate in internal and external audits while collaborating with Systems Compliance Quality Assurance and executive leadership.
Oversee compliance for all programs within the assigned area. Promote a culture where compliance accountability and ethical decision-making are expected in every aspect of operations.
Ensure compliance with documentation standards state regulations licensing requirements and contractual expectations across all departments.
Train and reinforce company values mission vision leadership standards and best practices throughout all levels of the organization.
Lead or participate in recurring leadership meetings including Clinical ABA Residential Community-Based Services Day Treatment Safety Care training and operational meetings.
Teach implement and monitor company policies procedures and leadership development initiatives.
Maintain working knowledge of behavioral health practices Applied Behavior Analysis (ABA) organizational behavior management residential services community-based services outpatient services and Day Treatment programs.
Assist with budgeting financial oversight operational reporting audit fidelity reviews behavior management reviews and performance improvement initiatives.
Oversee operational needs related to facilities vehicles equipment and maintenance.
Maintain a working knowledge of all applicable payer state and funding contracts to ensure compliance maximize reimbursement and support operational decision-making.
Ensure successful operation of residential and other contracted programs while maintaining compliance with all applicable state and payer requirements.
Responsible for maintaining assigned programs at or near identified capacity through effective admissions referral management and occupancy planning while ensuring compliance and quality of care.
Collaborate with Human Resources regarding staffing performance management reporting leadership development onboarding pay expectations labor costs and employee relations.
Conduct quarterly and annual performance evaluations for operational leadership.
Respond appropriately to staffing challenges crisis situations operational concerns and client or stakeholder issues including client and/or family grievances customer service management and community relations.
Participate in new hire orientation leadership onboarding and ongoing organizational training initiatives.
Oversee medication management auditing processes within residential programs and ensure compliance with medication administration standards.
Support organizational marketing and business development efforts by cultivating relationships with referral partners hospitals school districts community agencies state organizations managed care organizations physicians and other stakeholders.
Represent the organization through networking events community presentations leadership panels conferences and professional organizations.
Develop and maintain strategic relationships with agencies including schools hospitals state departments insurance providers vocational rehabilitation agencies support coordinators case managers and other referral partners. Manage CRM processes and systems to establish healthy pipelines of incoming clients and revenue.
Assist with transition planning and collaboration between Crimson Heights and educational or community agencies when appropriate.
Ensure Critical Incident reporting and documentation are completed accurately and in accordance with state guidelines.
Collaborate with Human Resources to ensure onboarding required training competency checklists and state-mandated training requirements are completed within required timelines.
Monitor and meet organizational Key Performance Indicators (KPIs) operational metrics and growth targets established by executive leadership.
Perform additional duties and responsibilities as assigned by the COO or other executive leadership members.
MINIMUM QUALIFICATIONS
Education : Bachelors Degree in behavioral health related field
