Job Summary
Spherion is looking for an Administrative Assistant / Office Support professional to join our team. This support-level role focuses on completing routine administrative tasks to assist our accounting and operations staff allowing them to remain focused on primary responsibilities. The ideal candidate will be dependable well-organized comfortable with computers and standard software and capable of executing established processes seamlessly across various day-to-day office needs.
Competitive Pay: $25/hr DOE to start! If you are transitioning from another Accounting role we offer great starting rates for our second-shift hours. - Document Management & Clerical Duties: Manage filing scanning and document organization. Set up and maintain project/job folders while organizing files in Google drives and secondary databases.
- Accounting & Financial Support: Deliver basic Accounts payable accounts receivable and overall Bookkeeping support. Prepare routine Journal entries for financial tracking and organize credit card receipts and documentation.
- Office & Operational Logistics: Handle office supply ordering and inventory process mail and shipping manage fleet/office administrative needs and maintain workplace inventory.
- Project & Compliance Tracking: Assist with COI (Certificates of Insurance) requests and tracking manage lien waivers track project documents and organize inventory.
- Paperwork & Data Entry: Perform general data entry basic record maintenance and prepare routine field and service paperwork. Maintain clear digital records across internal platforms and Google drives.
- Administrative & Software Support: Provide reliable Administrative support to office leadership generate standard administrative reports using microsoft Excel and record transactions in quickbooks.
- Reporting & Task Assistance: Draft routine operational reports and spreadsheets using microsoft Excel to offer ongoing Administrative support across departments.
- Team Collaboration: Execute additional tasks routine clerical duties and general Administrative support under the direction of accounting and operations personnel.
- Office & Software Proficiency: Comfortable using standard software suites including Microsoft Office microsoft Excel Outlook email and basic cloud storage like Google drives.
- Accounting & Bookkeeping Knowledge: Familiarity with basic Bookkeeping principles entry-level Accounts payable accounts receivable operations and drafting simple Journal entries.
- Financial Software Familiarity: Experience or willingness to learn accounting software such as quickbooks Quantum Payroll4Construction or Certified Payroll processing.
- Core Core Administrative Traits: Highly organized dependable detail-oriented and able to follow established procedural guidelines.
- Industry Background: Prior experience performing Bookkeeping or general administrative work in a construction office is helpful but not required.
- Accounting Concepts: Fundamental understanding of general ledger updates and basic Journal entries.
- Competitive Pay Structure: Competitive starting hourly rate of $25/hr with structured full-time hours (MondayFriday 8:00 AM 4:30 PM).
