JOB SUMMARY/ESSENTIAL JOB FUNCTIONS:

The Administrative Associate 4 provides effective management and administrative oversight of the Chairs office within the Department of Urology. This position is responsible for ensuring efficient daily operations coordinating administrative activities and supporting the departments overall goals and functions.



Responsibilities
  1. Manages daily administrative operations and provides direct support to the Chair and faculty.
  2. Prepares correspondence reports presentations and other documents using Microsoft Word Excel and PowerPoint.
  3. Coordinates travel arrangements for the Chair and faculty including airfare hotel accommodation ground transportation rental cars and detailed itineraries.
  4. Provides administrative coordination and support for all faculty searches from initiation through appointment.
  5. Creates maintains and updates official search and recruitment records and enters required information into institutional systems.
  6. Coordinates and completes new-hire documentation ensuring all required forms and approvals are finalized prior to the employees start date.
  7. Prepares all appointment and reappointment documentation and annual reviews.
  8. Completes expense reports in DASH.
  9. Performs other duties as assigned.


Qualifications

MINIMUM REQUIREMENTS:

EDUCATION:

High School Diploma or GED. (TRANSCRIPT REQUIRED)

EXPERIENCE:

Five (5) years of administrative experience preferably in a hospital or academic setting; OR Associates Degree and three (3) years of administrative experience; ORa combination of related college coursework and work experience equal to five (5) years.

KNOWLEDGE SKILLS AND ABILITIES:

  • Ability to work independently with honesty and integrity.
  • Skill in Microsoft Word Excel PowerPoint and Outlook.
  • Excellent written interpersonal and critical thinking skills.
  • Ability to maintain discretion in identifying and processing sensitive and confidential information/assignments.
  • Ability to compose and edit documents for content grammar punctuation and format for concise and accurate documents.
  • Ability to work under pressure and time constraints while handling changing priorities/deadlines to complete assigned tasks.

WORK SCHEDULE:This position may occasionally be required to work evenings.
