Position Overview

We are seeking a highly organized and detail-oriented Administrative Assistant to support a fast-paced federal agency office in Washington DC. This role requires exceptional attention to detail strong critical thinking skills and a customer-focused mindset. The successful candidate will serve as a key member of the support team managing high-volume communications and ensuring timely accurate responses to internal and external stakeholders.

This position is fully onsite and requires the ability to thrive in a dynamic environment with competing priorities and significant daily email traffic.

Key Responsibilities

Program Mailbox Management: Monitor and manage multiple program outlook mailboxes review and appropriately route incoming correspondence identifying required actions routing matters appropriately and provide timely responses in accordance with established Agency procedures guidance and templates.

Program Tracking and Data Management: Track and maintain a high volume of requests correspondence assignments deadlines and program data to ensure information is accurate current and appropriately documented and that the required actions and follow-ups are completed timely.

Information Review and Coordination: Review gather and synthesize information from multiple sources and coordinate with team members and Agency personnel to obtain necessary information prepare routine correspondence and facilitate timely completion of program actions.

Administrative and Program Support: Maintain program records prepare and format documents and routine correspondence update spreadsheets and trackers conduct necessary follow-up and perform other related administrative and program support.

    Required Skills and Qualifications
    • Relevant Experience: Demonstrated experience providing administrative program case-management or operational support in a high-volume professional environment.
    • Attention to Detail and Accuracy: Demonstrated ability to consistently produce accurate and complete work while managing detailed information and multiple data points.
    • Organization and Time Management: Demonstrated ability to prioritize and manage multiple assignments competing priorities and deadlines in a high-volume fast-paced environment.
    • Communication and Collaboration: Strong written and verbal communication skills with the ability to interact professionally and effectively with team members and personnel at various organizational levels.
    • Analytical and Administrative Judgement: Ability to review and synthesize information follow established procedures and business rules identify discrepancies or required actions and recognize when matters require escalation.
    • Microsoft Office Proficiency: Proficiency in Microsoft Outlook Word Excel including shared mailbox management document preparation and spreadsheet/data tracking.
    • Confidentiality and Discretion: Ability to appropriately handle and safeguard sensitive and confidential medical and program information.
    • Independent Work: Ability to perform assigned work responsibilities independently within established procedures while effectively collaborating in a team environment.
      • Special Note: This contractor will provide administrative and program support and will not independently make reasonable accommodation determinations or other decisions reserved for designated Agency officials.
