Were seeking an organized detail-oriented Administrative Professional to support our IDS Adult Day Services team and help ensure the efficient day-to-day operations that make our mission Youll BringStrong organizational skills with the ability to manage multiple priorities and deadlinesExcellent attention to detail and accuracy in data entry record keeping and administrative processesStrong written and verbal communication skillsA customer service mindset when interacting with staff individuals served families and visitorsThe ability to work independently while collaborating effectively with leadership and team membersSound judgment and discretion when handling confidential informationProficiency in Microsoft 365 and other technology systemsWhat Youll HaveHigh school diploma or equivalent requiredMust be at least 18 years of agePrevious administrative office support purchasing or accounting experience preferredExperience with data entry records management scheduling or office coordination preferredAbility to learn and navigate multiple software systems including CareLogic Workday Dayforce SurveyMonkey and Track ItA Typical Day May IncludeEntering and maintaining accurate data in CareLogic and generating reports as neededUploading satisfaction surveys and managing survey response trackingOrganizing and maintaining electronic and physical recordsOrdering office and program supplies and coordinating agency stationery requestsReconciling credit card transactions and processing purchasing approvals in WorkdayMonitoring shared email inboxes and routing communications appropriatelyCoordinating facility maintenance requests through Track ItManaging mail distribution for department leadershipSupporting staff registration for trainings conferences and travel accommodationsServing as a Referral Coordinator by receiving and processing referralsAssisting with employee onboarding processes including Dayforce registrationGreeting visitors managing building access and answering incoming phone calls as neededCoordinating meetings employee recognition events celebrations and special department activitiesAssisting leadership with administrative projects and operational support initiatives
