Job Summary
MalaceHR is seeking an organized and dependable Administrative Assistant to provide high-level administrative and clerical support within a professional office environment. This position will be responsible for managing information requests maintaining records preparing documents and supporting day-to-day office operations.
The ideal candidate will have strong communication and organizational skills the ability to manage multiple priorities and experience with Microsoft Office applications.
- Perform general office duties including ordering supplies maintaining records management systems and assisting with basic bookkeeping functions.
- Prepare invoices reports memos letters financial statements and other business documents.
- File organize maintain and retrieve corporate documents records and reports.
- Open sort and distribute incoming correspondence including emails mail and other communications.
- Prepare responses to routine correspondence and route inquiries to the appropriate individuals or departments.
- Conduct research and handle information requests as needed.
- Maintain organized and confidential files and information.
- Provide general administrative support to ensure efficient daily office operations.
- Communicate professionally with internal team members clients vendors and other stakeholders.
- Assist with additional administrative and clerical duties as assigned.
- High school diploma or GED required.
- 24 years of administrative clerical or office support experience.
- Strong verbal and written communication skills.
- Excellent organizational and time-management abilities.
- Ability to multitask and prioritize responsibilities effectively.
- Strong customer service and interpersonal skills.
- Ability to work independently with minimal supervision.
- Ability to handle sensitive and confidential information appropriately.
- Proficiency with Microsoft Office applications including Word Excel and PowerPoint.
- Strong attention to detail and accuracy.
