Job Summary

The Administrative Assistant provides clerical support to staff at our Houston facility while partnering with corporate accounting to support local financial operations. This role carries a wide range of responsibilities with a heavy focus on accounting including accounts receivable accounts payable vendor and customer account maintenance and regular operational reporting alongside the scheduling recordkeeping and communication tasks that keep the site running.

Responsibilities
  • Champion clerical tasks from answering phone inquiries distributing mail and setting up meetings to maintaining facility records.
  • Provide various forms of administrative support to facility leadership including email correspondence and generation distribution of memos spreadsheets and faxes.
  • Manage and organize daily schedules for management and staff to ensure efficient time management.
  • Prepare and maintain accurate records reports and documentation related to transportation and warehousing operations.
  • Support accounts receivable by preparing customer invoices.
  • Assist accounts payable in creating purchase orders and reviewing vendor invoices.
  • Partner with facility leadership to set up and maintain customer and vendor accounts in accounting software.
  • Support corporate accounting by completing regular operational reporting.
  • Assist in the coordination of logistics including scheduling shipments and tracking inventory levels.
  • Assist with new hires and workers compensation related processes.
  • Facilitate communication between departments and external partners addressing inquiries and providing necessary information.
  • Partner with facility staff to maintain a variety of facility supplies.
  • Tackle a variety of administrative projects.
  • Escalate matters to leadership as needed.
  • Collaborate with facility leadership to identify and resolve administrative needs.
  • Foster exceptional and collaborative partnerships with facility staff and external partners.
  • Perform other duties as assigned.
Experience & Education
  • High school diploma or equivalent.
  • Minimum of 2 years in an administrative role.
  • 2 years of experience with accounting and payroll preferred.
  • Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook).
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
Preferred Qualifications
  • Bilingual fluency (verbal and written) in Spanish and English.
  • Associates degree in business administration or a related field.
  • Experience in the transportation warehousing or manufacturing industry.
  • Familiarity with logistics software and inventory management systems.
  • Basic knowledge of accounting principles.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
Physical & Environment
  • Prolonged periods of sitting or standing at a desk and working on a computer; requires good manual dexterity.
  • Must be able to lift 15 pounds at times.
  • This position operates primarily in an office environment adjacent to a non-climate-controlled warehouse. Due to proximity to pallet operations the office may occasionally experience dust and ambient noise.
  • Exposure to the production floor may be occasional requiring adherence to all safety protocols and use of personal protective equipment where applicable.
  • May occasionally perform tasks off-site that require varying forms of travel.
