Position Overview

We are seeking a proactive and organized Administrative Assistant to support daily office operations. This individual will be responsible for maintaining office cleanliness managing communication assisting with purchasing needs coordinating meetings and events and providing general administrative support across departments. The ideal candidate will be detail-oriented flexible and able to multitask in a fast-paced environment.

Key Responsibilities

  • Proactively restock and maintain the HQ cafe (fridges snacks coffee tea dishwashers) on a daily and weekly basis.
  • Maintain office common areas conference rooms bathrooms and the supply room restocked (paper good and soap)
  • Provide general administrative support including data entry filing and preparing documents or reports.
  • Welcome guests by greeting them in person or on the phone answering or directing inquiries.
  • Oversee purchasing tasks including ordering office and breakroom supplies and managing urgent purchasing needs.
  • Support with organizing company meetings training sessions and events (e.g. ordering food coordinating meeting spaces and preparing materials).
  • Assist in the planning and execution of office celebrations and team bonding activities.
  • Handle miscellaneous administrative tasks including managing inventory and assisting with employee workspace setup.
  • Receive short and distribute incoming mail and packages daily following the companys receiving policy and prepare outgoing mail and shipments.
  • Running errands including trips to the post office Handling mail and packages shipping items and ensuring timely delivery of company correspondence.
  • Conduct regular Mystery Shopping by phone and email a core recurring part of this role.

Position Requirements

  • Prior office management front desk or customer service experience preferred.
  • Strong organizational and multitasking skills.
  • Task oriented with a proactive self-starting approach to recurring processes.
  • Excellent verbal and written communication.
  • Ability to handle various administrative tasks in a timely and efficient manner.
  • Proficient in Microsoft Office Suite basic office equipment and general office technology (comfortable troubleshooting phones/printers a plus).
  • A positive proactive attitude and ability to work well independently and as part of a team.

Physical Requirements

  • This position will be sedentary for 50% of the time but requires occasional movement round the office to access file cabinets and office supplies.
  • Requires the ability to frequently walk stand climb stairs crawl sit squat stoop bend reach kneel rise from the floor and twist.
  • Requires the ability to carry and lift 25 pounds or less use repetitive or fine hand movements and occasionally push pull run short distances and carry and lift 25 pounds or less.

Pay and Schedule

This is a full-time nonexempt position that works Monday-Friday at our corporate headquarters in Minneapolis Minnesota.

The starting pay for this position is between $45000 and $55000 depending on experience education and certifications and/or degrees.
