Job Summary

The Administrative Assistant Center for Autism and Neurodiversity will provide administrative and clerical support for the CAN program. This position will also assist with the tasks related to funding received by the Office of Vocational Rehabilitation (OVR). The Administrative Assistant is often the first staff member prospective students and their families encounter and contribute to creating a welcoming responsive and professional experience for all visitors and program participants.

The Administrative Assistant is responsible for managing administrative processes maintaining records coordinating events and meetings preparing reports reconciling expenses and supporting the daily operations of the department. The successful candidate will be highly organized detail-oriented customer-service focused and capable of managing multiple priorities in a fast-paced environment.

Essential Functions

  • Manage all correspondence related to prospective students and families.
  • Maintain accurate records of students status with the Office of Vocational Rehabilitation (OVR) and communicate regularly with OVR.
  • Act as liaison between CAN OVR and Drexels Financial Aid office to ensure students accounts are accurate and up to date.
  • Create twice-quarterly quarterly and annual reports for OVR.
  • Establish and maintain files logs and other tracking systems for a variety of information projects and events; may update website or use social media.
  • Reconcile expenses for the Office.
  • Organize and maintain schedules and make arrangements/preparations as needed including preparing or providing agendas meeting minutes equipment location information packets travel and follow up action items.
  • Perform clerical tasks such as answering and directing phone calls and orderingoffice supplies.
  • Submit work orders to the Facilities Department as needed.
  • Plan and convene on and off-campus activities such as the Autism at Work: University Series events Faculty and Staff Education Series events and working employee breakfasts with the Steinbright Career Development Center (SCDC). This includes reserving space making all related arrangements for speakers arranging catering etc.
  • Other duties as assigned

Required Qualifications

  • Minimum of a HS Diploma or GED and 5 years of administrative experience.
  • Proficiency with various computer software applications including Microsoft Office Suite (Word Excel Outlook).
  • Ability to exercise sound judgment and maintain confidentiality.
  • Demonstrated ability to work collaboratively with various departments.
  • Strong organization and attention to detail skills.
  • Ability to work independently/autonomously under limited supervision.
  • Cultural awareness and competency demonstrated by working with and/or understanding of individuals of diverse identities including those with different levels of academic preparation and varying abilities.
  • Strong interpersonal written and verbal communications skills.

Preferred Qualifications

  • Bachelors Degree.

Additional Information
This position is classified as Non-Exempt grade I. Compensation for this grade ranges from$21.71 - $32.57per hour. Please note that the offered rate for thisposition will vary based on thesuccessful candidates qualifications and experience department budget and an internal equity review.
