Job summary:

Leidos is seeking an experienced Administrative Assistant to support the Indo-Pacific Logistics and Sustainment Services (ILS2) program. ILS2 provides integrated logistics facilities mission-enabling training and emergent operations support across the geographically dispersed Indo-Pacific Area of Responsibility (AOR).

The Administrative Assistant supports the ILS2 Program Management Office (PMO) and program leadership by coordinating administrative activities meetings travel documentation onboarding and other day-to-day program support. The position works with program leadership Task Leads Resource Managers Mission Partner Liaisons functional teams teammates and Government stakeholders to maintain organized and efficient program operations.

Primary Responsibilities.

  • Provide administrative and operational support to the ILS2 PMO and program leadership.

  • Coordinate calendars meetings program reviews working groups and other recurring program business rhythms.

  • Schedule meetings across geographically dispersed teams and Mission Partners including coordinating participants meeting logistics conference rooms virtual meeting capabilities and supporting materials.

  • Prepare agendas meeting materials presentations correspondence and other program documentation.

  • Capture and distribute meeting minutes decisions action items and follow-up activities.

  • Maintain program calendars contact lists distribution lists organizational information and administrative records.

  • Coordinate domestic and international travel including itineraries travel documentation approvals and changes to travel requirements.

  • Assist with charge codes expense reports purchase requests and other administrative processes.

  • Support preparation coordination tracking and submission of program reports and deliverables.

  • Maintain program documentation and records in Government and program approved repositories.

  • Compile information from multiple sources into reports presentations trackers and other materials used by program leadership.

  • Track administrative actions and suspense dates and coordinate with responsible personnel to support timely completion.

  • Coordinate with teammates and functional organizations to obtain information and resolve administrative issues affecting program execution.

  • Support procurement and purchasing activities including obtaining quotes preparing purchase requests and maintaining supporting documentation.

  • Handle sensitive and confidential program information in accordance with applicable policies and requirements.

  • Provide additional administrative support to the PMO as required to maintain efficient program operations.

Basic Qualifications

  • High school diploma with 5 years of relevant administrative program support office management or project coordination experience.

  • Experience providing administrative support to a program project or organizational leadership team.

  • Experience coordinating calendars meetings travel documentation and administrative actions across multiple stakeholders.

  • Experience preparing correspondence presentations reports meeting materials and other business documentation.

  • Experience tracking actions deliverables deadlines and administrative requirements.

  • Proficiency with Microsoft Office applications including Word Excel PowerPoint Outlook and Teams.

  • Experience maintaining electronic files records and document repositories.

  • Experience handling sensitive or confidential information.

  • Experience coordinating multiple concurrent administrative requirements and priorities.

  • Experience with Federal Government programs.

  • Active Secret clearance or ability to obtain and maintain a Secret clearance.

Preferred Qualifications

  • Experience supporting DoD SOCPAC or INDOPACOM.

  • Experience supporting geographically dispersed or OCONUS teams.

  • Experience supporting logistics sustainment facilities or mission-support programs.

  • Experience coordinating international or OCONUS travel.

  • Experience with SharePoint or other Government or enterprise document management systems.

  • Experience supporting purchasing expense reporting or other program business processes.
