Job Summary
We are seeking an experienced Administrative Assistant III to provide high-level administrative and office support to the Operations Communications team.
The ideal candidate will have 5 years of administrative experience strong calendar and meeting-management skills excellent written and verbal communication abilities and advanced proficiency with Microsoft Office. Southern Company system experience and previous experience supporting a corporate communications team are strongly preferred.
- Provide expert-level administrative support to managers managing directors partners and other professionals.
- Manage calendars schedules appointments and competing priorities.
- Coordinate meetings conferences and events including:
- Scheduling and logistics
- Agenda preparation
- Meeting materials
- Follow-up actions
- Make travel arrangements and coordinate related logistics.
- Prepare edit review and proofread:
- Reports
- Presentations
- Correspondence
- Emails
- Other business documents
- Conduct research gather and analyze information and prepare reports to support planning and decision-making.
- Track departmental projects deadlines activities and administrative deliverables.
- Manage expense tracking and reporting in accordance with company policies.
- Serve as a key point of contact for internal and external stakeholders.
- Handle confidential and sensitive information with professionalism and discretion.
- Answer and route telephone calls and assist visitors.
- Perform general administrative duties including filing scanning copying and coordinating meal orders.
- Maintain organized records and support daily office operations.
- Prioritize workload and meet deadlines in a fast-paced and rapidly changing environment.
- 510 years of administrative or office support experience.
- Strong calendar and schedule management experience.
- Experience supporting multiple professionals and senior-level stakeholders.
- Advanced proficiency in:
- Microsoft Word
- Microsoft Excel
- Microsoft PowerPoint
- Microsoft Outlook
- Experience using spreadsheets databases presentation software and other business applications.
- Strong document preparation proofreading and editing skills.
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities.
- Ability to manage multiple priorities and meet deadlines.
- Strong attention to detail.
- Professional discretion when handling sensitive or confidential information.
- Proactive problem-solving and sound decision-making skills.
- Previous Southern Company system experience.
- Experience supporting a corporate communications or operations communications team.
- Experience coordinating high-profile meetings conferences and corporate events.
- Experience tracking departmental projects activities and deadlines.
The successful candidate will be highly organized detail-oriented proactive and comfortable working in a fast-paced corporate environment. They should be able to work independently learn new tasks quickly communicate effectively with diverse stakeholders and manage multiple responsibilities while maintaining a high level of professionalism and confidentiality.
