Job Summary
The Opportunity
This position coordinates an average of 85 workshops and 5-7 major conferences and events during the academic year. The workshop series is shared with other components of the Economics Super-Department (School of Industrial & Labor Relations and Brooks School of Public Policy) and is a keycomponentof the graduate program curriculum. This positionis responsible forextensive coordination with faculty and other departments to organizefacilitateand implement the workshop series seminars conferences faculty/student review sessions and other department events and addition to the workshop series there is an average of 5-7 seminars and conferences/year that this positionis responsible forcoordinating with other departments and schools to include arranging transportationlogistics travel schedules itinerarys appointment contacts etc.
This role also supports the departments daily administrative operations by managing visitors to the office key and supply inventories incoming and outgoing mailassistingfaculty with classroom reservations and exam copying scanning and other departmental support needs.
The Economics Super-Department includes more than 60 faculty visiting scholars and postdoctoral researchers along with 375 undergraduate majors and 100 Ph.D. students serving more than 5000 students annually. The department spans three colleges: the College of Arts & Sciences the School of Industrial and Labor Relations and the Jeb E. Brooks School of Public Policy. While it reports administratively to all three colleges faculty staff students and funding are distributed across each entity.
Key Responsibilities
Coordinate and support department workshops seminars conferences faculty/student review sessions meetings andspecial events managinglogisticsfrom planning through execution.
Schedule appointments meetings event spaces and travel arrangements using electronic calendars while coordinating itineraries and transportationlogistics.
Manage event registration accommodations catering marketing materials presentation materials and on-sitelogisticsfor department programs and events.
Serve as the primary point of contact for invited speakers by coordinating visitlogistics travel lodging schedules and reimbursements.
Prepare and distribute event communications including invitations posters flyers and announcements through departmental and university communication channels.
Coordinate meeting schedules between faculty graduate students and invited speakers and manage departmental offices and meeting spaces for visitors and events.
Processreimbursementdocumentation andmaintainaccuraterecords of event communications expenses and supporting documentation.
Provide front-line administrative support by responding to telephone email and in-person inquiries and serving as a resource on departmental policies and procedures.
Maintain department inventories including office equipment keys supplies mailboxes and toner while coordinating equipment repairs and supply ordering.
Process incoming and outgoing mail and coordinate express shipping services.
Support faculty with exam preparation room reservations copying scanning and Student Disability Services testing accommodations.
Assistwith departmental events including Visit Day Commencement and other special activities.
Coordinate the collection distribution and posting of faculty and teaching assistant office hours each academic term.
Participate in special projects and perform additional position-related responsibilities as assigned.

This is a full-time (39 hours/week) position that is based in Ithaca NY and fully on-site. Core hours are Monday to Friday 8am to 4:30pm.This is a 10-month/year position. The employee will be off duringthe months of Juneand July.The final schedule will beestablishedin collaboration with the supervisor.
