- Coordinate and oversee daily administrative operations within the medical office to ensure that processes run smoothly.
- Schedule patient appointments and manage calendars for medical staff.
- Maintain and update patient records in compliance with privacy regulations including HIPAA and GDPR.
- Process billing and insurance claims accurately and on time.
- Serve as a primary point of contact for patients addressing inquiries and resolving issues efficiently and professionally.
- Ensure compliance with regulatory standards and assist with audits.
- Manage the inventory of office supplies and schedule maintenance for medical equipment.
- Assist medical professionals with behind-the-scenes administrative tasks such as document preparation and correspondence.
- Implement and improve administrative procedures for greater operational efficiency.
- Collaborate with team members across departments to ensure optimal patient care.
Required:
- Proven experience in medical administration or healthcare-related roles.
- Proficiency in administrative and scheduling software (e.g. MS Office EHR/EMR systems).
- Excellent organizational and multitasking skills to handle a dynamic environment.
- Strong communication and interpersonal skills capable of working effectively with diverse populations.
- Familiarity with healthcare privacy laws and regulations (e.g. HIPAA).
Preferred:
- Bachelors degree in Healthcare Administration Business Administration or a related field.
- Active certification in healthcare administration (e.g. Certified Medical Administrative Assistant CMAA).
- Previous experience in a hospital clinic or similar healthcare setting.
- Greet patients and families ensuring they feel welcome and supported from the moment they arrive.
- Efficiently manage incoming phone calls emails and in-person inquiries.
- Oversee patient check-in and check-out procedures ensuring that insurance information and appointments are correctly documented.
- Maintain clear communication with medical staff regarding patient schedules urgent updates or workflow changes.
- Manage medical records and prepare reports as requested by healthcare providers.
- Review and process invoices payments and insurance claims addressing discrepancies promptly.
- Organize staff meetings prepare agendas and distribute minutes afterward.
- Proactively identify opportunities to improve operational workflows and patient satisfaction.
