Interview Availability Scheduling Coordinator
Job Summary
Office Administration Interview Scheduling Remote
Pay 28.0030.25 per hour Full-time or part-time
An interviewer may have an open slot while a candidate has offered several different times. This role gathers availability and keeps the proposed interview schedule accurate before a recruiter confirms the final appointment. You would use online calendars and written messages identify conflicts and update the recruiting team. You would not decide who should be interviewed evaluate candidates or promise a slot that has not been approved.
The recruiter supplies the candidate interview format required participants and possible time windows. Check that information before requesting availability. A candidate may reply in a different time zone or say Friday morning without a precise window. Ask for clarification where needed and record the answer in the assigned system. If a panel member becomes unavailable flag the conflict rather than quietly remove them from an interview the recruiter designed.
The job is distinct from merely sending a confirmed invitation. You are assembling a workable choice. A candidate may be available for a phone interview but not a longer online panel at the same time. Note the duration and format. When the recruiter approves a slot you can complete the assigned confirmation steps but until then the record should say proposed. An invitation sent prematurely can cause a candidate to rearrange their day for a meeting that cannot take place.
- Check the candidate reference and the right interview stage.
- Collect time windows from the participants named by the recruiter.
- Convert or clarify time zones using the employers convention.
- Identify a conflict with an existing calendar block.
- Present viable options and unresolved questions to the recruiter.
- Record a candidates changed availability without erasing the earlier reply.
- Send an approved confirmation only after the final time is chosen.
- Keep a declined proposal separate from a cancelled confirmed interview.
Suppose a candidate offers two afternoons but one interviewer can attend only one of them and another has yet to reply. You would show the recruiter the available option and the missing response not mark it as booked. If the recruiter asks for another window send a concise request to the candidate and keep it linked to the existing interview case. That is good office administration and respectful customer service to a person who is already making time for the process.
You will work remotely through email calendars and an online applicant record. A quiet home office and reliable connection are useful when checking names and dates. The hiring company will train you on its recruiting stages and privacy rules. Previous scheduling experience is helpful but not needed. The essential habits are accurate comparison clear writing and knowing when to ask the recruiter to choose.
The actual schedule may be part-time or full-time and will be confirmed by the employer. The hourly pay band is above. You are supporting a recruiting process not conducting interviews or making hiring decisions. A finished task leaves both candidate and interviewers with a genuinely confirmed time and a record that explains any change.
Candidates may be interviewing while working another job and may need to ask for a time outside the first options. Note the request and pass it to the recruiter without implying it will be granted or judging the candidates commitment. If an interviewer offers a new slot after the candidate has declined it check the latest response before putting it back into consideration. A cancellation of one interview stage should not silently remove a separate meeting for the same candidate. The applicant record should show each stage clearly so the recruiting team can follow what was proposed accepted and finally scheduled.
This is a written coordination role so tone matters. State time zones and meeting formats explicitly keep a proposed slot distinct from a booking and do not send repeated reminders when the candidate has already answered. A recruiter can teach the specific calendar tool; what matters initially is your willingness to check the facts before asking a person to rearrange their day.
- Recheck every required interviewers latest availability.
- Confirm the meeting length and format with the recruiter.
- Label the time zone in the candidate-facing message.
- Keep a proposed option out of the confirmed calendar.
- Note a candidates newly supplied restriction.
- Ask the recruiter to choose when more than one slot works.
- Send the approved invitation through the assigned channel.
- Compare the meeting link with the confirmed format.
- Record a candidates acceptance or request to change.
- Leave an unanswered invitation visibly pending.
- Update the recruiter about a conflicting reply.
- Keep separate interview stages in separate records.
Explain how you would handle a candidates time suggestion when one interviewer has not responded. You may use an example from study or organising a group activity. Please make clear when you would ask the recruiter to approve a proposed slot. No recruiting qualification is required.
If you advance the hiring company may ask you to complete an application on its website. Training in the calendar and applicant system will be provided.
