We are looking for a highly organised proactive and detail-focused Governance Administrator and Executive Assistant to join our Governance team at our Birmingham Head Office.
This is an opportunity to play a vital role in supporting the effective running of our charity. You will help ensure our Board of Trustees Committees and Executive Team have the information processes and support they need to make effective decisions and continue delivering the best possible services for young people.
You will be someone who takes pride in getting things right enjoys working with people at all levels and understands the importance of good governance confidentiality and professional administration.
Your work will directly support the systems and structures that allow St Basils to continue preventing youth homelessness and helping thousands of young people every year.

About the role
Reporting to the Governance & Regulations Manager you will provide a high-quality governance and secretariat service to the Board of Directors/Trustees Committees and Youth Advisory Board ensuring St Basils continues to meet the requirements of the Charity Commission Regulator of Social Housing and Companies House.
You will also provide professional executive support to the Governance & Regulations Manager and Executive Team particularly the Chief Executive helping to ensure effective governance administration and decision-making processes across the organisation.
This is a varied and rewarding role where no two days are the same. You will be involved in supporting important meetings maintaining governance records coordinating key organisational activities and helping colleagues across St Basils work effectively.

Key responsibilities:
Meeting Management
Support the collation and distribution of Board Committee and Senior Leadership Team (SLT) meeting papers within agreed timescales.
Assist with the preparation of agendas with relevant colleagues and meeting Chairs.
Produce accurate minutes of Board Committee and SLT meetings and monitor agreed actions.
Maintain action logs and support follow-up activity.
Support with minutes and administration for other meetings including Youth Advisory Board Employee Council and Managers meetings.
Coordinate annual meeting schedules and arrange both in-person and virtual meetings.
Board Governance
Support Board appraisal processes and Board development activities.
Assist with Board recruitment induction and ongoing support.
Maintain Board skills assessments and training records.
Support Board compliance with mandatory training requirements.
Coordinate the Board Annual Away Day and Active Learning programme.
Maintain governance registers including Declarations of Interest Gifts and Hospitality.
Support the planning and administration of the Annual General Meeting.
Executive Support
Provide professional administrative support to the Executive Team particularly the Chief Executive.
Assist with diary coordination meeting arrangements and administration.
Prepare reports presentations correspondence and meeting documents.
Support internal and external meetings events and stakeholder engagement.
Handle sensitive information with professionalism confidentiality and discretion.
Other responsibilities
Support compliance with Data Protection legislation and information governance processes.
Maintain contract and governance records.
Support the Company Secretary with key governance documentation.
Maintain effective filing systems and ensure information is securely stored.
Provide support across the Governance team when required.
Youll bring
Excellent organisational skills with the ability to manage multiple priorities meet deadlines and keep things running smoothly.
Strong attention to detail and a commitment to producing accurate high-quality work.
Experience of providing administrative support ideally within a busy professional environment.
Confidence communicating with people at all levels including senior leaders Board members colleagues and external partners.
The ability to prepare clear professional documents reports presentations and meeting papers.
Experience of supporting meetings including preparing agendas taking accurate minutes and following up actions.
The ability to handle confidential and sensitive information with discretion and professionalism.
Strong IT skills including confidence using Microsoft Office applications such as Word Excel PowerPoint Outlook and Teams.
A proactive approach with the ability to identify what needs to be done and take ownership.
