Job Summary

We are seeking a highly organised professional and proactive Executive Assistant & Office Support professional to join our London office in Chancery Lane.

This is a varied role combining executive support office coordination and front-of-house responsibilities ensuring our senior leaders are effectively supported while maintaining a professional welcoming and efficient office environment.

The successful candidate will be a confident communicator with excellent organisational skills capable of managing multiple priorities while delivering exceptional service to stakeholders at all levels.

Key Responsibilities

Executive Assistant Support:

  • Provide comprehensive executive assistant support to senior leaders.
  • Manage complex diaries scheduling travel arrangements and correspondence.
  • Prepare presentations reports meeting packs and other business documentation.
  • Coordinate meetings including agenda preparation minute taking and action tracking.
  • Facilitate effective communication and collaboration across leadership teams.
  • Anticipate executive needs and proactively resolve challenges.

Office Management:

  • Support the day-to-day running of the office ensuring a safe organised and productive workplace.
  • Coordinate office supplies equipment and meeting room readiness.
  • Liaise with facilities teams building management and external vendors to resolve issues efficiently.
  • Assist with health and safety processes office compliance activities and workplace standards.
  • Identify opportunities to improve office systems processes and employee experience.

Reception & Front-of-House:

  • Act as the first point of contact for visitors clients and business partners.
  • Deliver a professional friendly and welcoming reception experience.
  • Manage incoming calls post and deliveries.
  • Maintain reception and communal areas to a high professional standard.
  • Support onboarding activities and assist new starters as required.

    Essential Skills & Experience

    • Previous experience in an Executive Assistant Office Manager Administrative Assistant or similar support role.
    • Strong proficiency in Microsoft 365 including Outlook Word Excel PowerPoint and Teams.
    • Excellent organisational skills with strong attention to detail.
    • Ability to manage competing priorities and work effectively under pressure.
    • Strong written and verbal communication skills.
    • Professional and confident stakeholder management skills.
    • Excellent problem-solving abilities and a proactive approach.

    Desirable

    • Experience in office facilities coordination and vendor management.
    • Knowledge of health and safety requirements within an office environment.
    • Experience supporting senior leaders or executive teams.
