Our client has a long-standing reputation for delivering conservation education and community engagement initiatives that create a lasting positive impact across Scotland.
The Opportunity
We are supporting our client with the appointment of anExecutive Assistantto provide high-level support to the Chief Executive Chair and Board. This is a varied and highly visible role that requires exceptional organisational skills discretion and the ability to manage competing priorities within a fast-paced and purpose-driven environment. Working closely with senior leadership you will play a key role in ensuring the smooth operation of executive governance and administrative activities across the organisation.
Key Responsibilities
Manage and coordinate the Chief Executives diary meetings events travel arrangements and overall calendar planning.
Prepare briefings correspondence reports presentations and supporting documentation for internal and external stakeholders.
Act as the first point of contact for enquiries on behalf of the Chief Executive managing communications professionally and efficiently.
Organise and provide secretariat support for Board and committee meetings including agenda preparation circulation of papers attendance management and minute taking.
Coordinate annual governance activities including trustee appointments inductions elections and AGM support. Maintain accurate digital filing systems records and document management processes.
Process expenses manage routine correspondence and support organisational reporting and administrative activities.
Build effective working relationships with senior leaders trustees partners and external stakeholders providing administrative support as required.
Candidate Profile Essential Skills & Experience
Previous experience in an Executive Assistant Personal Assistant or senior administrative role supporting senior leadership
Exceptional organisational and time-management skills with the ability to manage multiple priorities and deadlines
Strong written and verbal communication skills with excellent attention to detail
Experience preparing meeting papers coordinating senior-level meetings and managing confidential information
Proficient in Microsoft Office applications including Outlook Word Excel Teams and PowerPoint
Ability to work independently use initiative and build effective relationships across a range of stakeholders
Desirable
Experience supporting Boards Trustees or governance committees
Experience taking minutes and managing actions within formal committee board or governance environments
Experience working within the charity public sector or membership organisation environment
