Assistant to Executive Assistant

Embark on a unique opportunity to work closely with the Chairman providing essential support to ensure the smooth execution of tasks. Youll be supporting the Executive Assistant to the Chairman playing a key role in managing information carrying out requests and coordinating logistics to help achieve AJWs mission of enhancing business efficiency. The fast-paced nature of this position requires resilience and the ability to thrive under pressure as you work to ensure the Chairmans day runs seamlessly amidst high demands and tight deadlines. This role is reactive to the Chairmans requests emphasising the hands-on approach he takes in overseeing operations.

• Coordinate and create detailed travel plans that are easy to follow ensuring all travel needs are met seamlessly

• Organise and manage large amounts of information making sure its clear accurate and accessible for the Executive Assistant and Chairman

• Prepare structured summaries and materials to assist in decision-making presenting information in a clear and concise manner

• Complete tasks efficiently while maintaining high quality and attention to detail even under time pressure

• Update schedules meetings and logistics to align with changing priorities

• Ensure all documents communications and presentations are error-free and polished

• Proactively find ways to simplify processes reduce complexity and enhance daily operations

• Assist the Executive Assistant in managing competing priorities and addressing risks or conflicts when needed

• Develop strong relationships with internal teams to gather information accurately and promptly

• Handle sensitive information with confidentiality and professionalism at all times

Consistently delivers high-quality work with exceptional attention to detail maintaining personal standards of excellence

Demonstrates resilience and composure when working under pressure in a fast-moving environment

Maintains a proactive mindset anticipating needs and preparing solutions or options in advance

Communicates information clearly and concisely structuring outputs for ease of understanding

Experience supporting senior stakeholders in a fast-paced administrative or coordination role

Exposure to complex diary management travel planning or logistical coordination

Familiarity with handling confidential or sensitive information with discretion

Experience producing structured documents or summaries for senior audiences
