Job Summary
This role goes beyond traditional administrative supportyou will play a key part in driving operational efficiency facilitating coordination across teams and geographies and supporting continuous improvement through digital and innovative ways of working.
Responsibilities / Tasks
Executive & Administrative Support
- Provide proactive administrative and organizational support to senior leaders
- Manage complex calendars across different time zones ensuring effective prioritization of meetings and business activities
- Handle sensitive business and people-related information with the highest level of discretion and confidentiality
- Support follow-up on action items deadlines and key initiatives
Travel & Expense Coordination
- Organize international and domestic travel including flights accommodation visas and logistics
- Manage travel expenses purchase orders and invoice follow-up in line with company policies
Meetings Events & Communication
- Coordinate leadership meetings workshops town halls and team events
- Prepare high-quality presentations reports and meeting materials
- Support internal communication activities including announcements newsletters and leadership updates
Stakeholder & Organizational Coordination
- Act as a central coordination point across functions countries and leadership teams within the NPE organization
- Collaborate with HR Finance Procurement IT and Communications teams
- Maintain organizational charts distribution lists and team information
- Coordinate onsite meetings and leadership visits including logistics and agenda preparation
Operational Excellence & Continuous Improvement
- Identify opportunities to simplify administrative processes and improve efficiency
- Support the adoption of digital tools and AI-based solutions
- Contribute to modern professional communication and collaboration standards
Your Profile / Qualifications
Experience & Education
- Bachelors degree in Business Administration Management Assistance or a related field (preferred)
- 35 years of experience in a similar management or executive assistant role
- Experience supporting senior leadership in an international or matrix environment
Skills & Competencies
- Strong organizational and multitasking skills with high attention to detail
- Excellent communication and interpersonal abilities
- High level of professionalism discretion and reliability
- Proactive solution-oriented mindset with the ability to work independently
Technical Skills
- Advanced proficiency in Microsoft Office (Outlook PowerPoint Excel Teams; Power BI is a plus)
- Digital mindset with interest in process optimization and AI tools
Languages
- Fluent English and Spanish required
- Additional languages are a plus
