Job Summary

Position Summary

We are seeking a highly motivated and detail-oriented Export Buyer to join our dynamic team. The successful candidate must have a Degree in Purchasing Logistics Commerce Business Management International Trade or a related field and will be responsible for managing supplier and client relationships sourcing products negotiating competitive pricing coordinating procurement activities and ensuring the timely delivery of goods to support our African export operations.

The ideal candidate will possess strong commercial acumen excellent negotiation skills and the ability to manage multiple projects while maintaining a high level of accuracy and customer service.

Key Responsibilities

Client Relationship Management

  • Maintain strong client relationships through effective and regular communication.
  • Deliver exceptional customer service by providing proactive and innovative solutions.
  • Respond promptly to customer enquiries and procurement requirements.

Supplier Relationship Management

  • Build and maintain productive supplier relationships.
  • Continuously evaluate supplier performance delivery lead times pricing and service quality.
  • Source competitive pricing and identify cost-saving opportunities.
  • Provide informed purchasing recommendations to management.
  • Liaise with the Finance Department to ensure suppliers are paid timeously.

Procurement & Purchasing

  • Process customer enquiries in accordance with company procurement procedures.
  • Source products to meet customer specifications and requirements.
  • Prepare accurate and competitive quotations and pro-forma invoices.
  • Ensure correct calculation of duties exchange rates freight charges surcharges VAT and related costs.
  • Arrange forward cover for foreign exchange transactions where applicable.
  • Create and maintain comprehensive order files and procurement records.
  • Obtain quotations from multiple suppliers and negotiate favorable pricing and payment terms.
  • Convert quotations into confirmed sales orders through proactive customer engagement.
  • Issue purchase orders and coordinate supplier deliveries.
  • Monitor order progress and resolve delivery delays.
  • Manage returns and replacement processes for defective or incorrect goods.

Stock Control & Warehouse Coordination

  • Liaise with warehouse personnel regarding receipt storage packaging labeling and shipment of goods.
  • Inspect incoming deliveries to verify accuracy and quality before dispatch.
  • Ensure procurement activities align with operational and delivery schedules.

Reporting & Administration

  • Maintain accurate procurement schedules and records.
  • Provide regular updates to the Operations Manager and warehouse team regarding stock availability collections deliveries and supplier lead times.
  • Participate in staff meetings and report on procurement activities.
  • Manage all procurement-related administration efficiently and accurately.

General Responsibilities

  • Support colleagues and assist with operational requirements where necessary.
  • Maintain exceptional standards of quality professionalism and accuracy.

Minimum Requirements

Experience

  • 2 to 3 years experience in procurement purchasing logistics supply chain or a related role will be advantageous.
  • Experience in import/export or cross-border trade will be advantageous.
  • ERP system experience will be advantageous.
