Job Summary

Our international client is looking for a highly organised and detail-oriented Document Controller to join a busy operations team within the freight shipping and logistics environment.

This role is ideal for someone with approximately 2 years relevant experience in shipping clearing and forwarding logistics freight or import/export operations who is comfortable working with time-sensitive documentation and coordinating with multiple operational stakeholders.

Key Responsibilities

The successful candidate will be responsible for managing and coordinating operational and shipping documentation across the business including:

  • Creating and distributing cargo holding certificates

  • Preparing and distributing shipping instructions

  • Preparing cargo declarations

  • Managing shipment bookings

  • Preparing and distributing sampling instructions

  • Distributing dispatch and receipt reports

  • Finalising draft and original Bills of Lading

  • Finalising draft and original COQ/COW documentation

  • Preparing booking and couriering document packs

  • Creating and distributing Letters of Indemnity (LOIs)

  • Maintaining contract registers

  • Managing sampling dashboards

  • Maintaining daily document control dashboards

  • Preparing invitation letters

  • Maintaining accurate electronic and hard-copy filing systems

  • Communicating daily with port sampling and trucking agents

  • Tracking trucks and providing operational updates

  • Providing vessel updates

  • Preparing and distributing photographic reports



Requirements

Candidates should have approximately 2 years relevant experience together with one or more of the following qualifications:

  • Diploma or Certificate in Freight Forwarding & Customs Compliance

  • Diploma in Supply Chain Management

  • Diploma in Logistics Management

  • Diploma in Import & Export Management

  • BCom/Bachelors degree in Supply Chain Management Logistics Transport or International Trade

  • Customs Compliance or Customs Administration qualification

  • Other relevant freight shipping or logistics qualification


Experience & Skills

The ideal candidate will have:

  • Previous clearing and forwarding experience

  • Previous shipping experience

  • Practical understanding of shipping and freight documentation

  • Strong attention to detail particularly when working with contractual and operational documents

  • Strong relationship-management skills when dealing with suppliers clients and operational partners

  • Confidence communicating with stakeholders from different countries and backgrounds

  • Good working knowledge of Microsoft Outlook and Excel

  • Strong organisational and document-management skills

  • The ability to manage multiple deadlines in a fast-paced operational environment

  • A proactive and dependable approach to work

Additional Requirements
  • A valid drivers license is essential as the role may require the collection of documents from time to time

  • Candidates must be willing to travel when operationally required

  • Due to the nature of shipping and logistics operations there may occasionally be a requirement to work on weekends or public holidays when necessary
