Job Summary

Role: Booking & Admin Agent

Priority Location: South Africa

Working Hours: 7:30am - 5pm (Mon - Fri) MT (UTC-7) with 24 hours of additional after-hours support

Salary Range: $1200 - $2000 USD per month (The final offer is at the clients discretion and depends on the candidates interview result skills and experience.)

About the Company:

Our client is a well-established in-person safety training and certification provider based in Canada recently acquired and currently undergoing operational scaling. With over 50000 individuals trained annually across 4 facilities in Alberta Canada they serve a primarily B2B client base many of whom book last-minute high-volume group sessions.

Mission & Impact:

This role is vital to ensuring smooth and efficient scheduling and delivering fast accurate service for high-demand industrial training programs. As a booking and administrative agent team member you are the backbone of the booking process playing a pivotal role in scaling up the teams operational capabilities.

Key Responsibilities:

  • Handle a high volume of inbound calls and emails daily (5060/day) for course bookings.
  • Schedule appointments accurately using a proprietary booking system.
  • Respond quickly and professionally to last-minute group bookings.
  • Deliver top-tier customer service in a calm and efficient manner.
  • Keep detailed organized records of booking data and client information.
  • Support after-hours communication needs during peak periods.
  • Coordinate with internal staff to streamline booking logistics and reduce admin pressure on reception.

Must-Have Qualifications:

  • Excellent spoken and written English.
  • Strong typing speed and responsiveness.
  • High attention to detail and ability to multitask under pressure.
  • Prior experience in administrative booking or reception-heavy roles.
  • Comfortable handling high volumes of work with autonomy.
  • Must have stable internet and the ability to support North American working hours (Mountain Time).

Nice-to--Have Qualifications:

  • Experience working in the safety training education or certification space.
  • Familiarity with QuickBooks or similar platforms.
  • Exposure to B2B client interactions or high-volume scheduling environments.

Key Performance Indicators (KPIs):

  • Daily volume of bookings processed.
  • Accuracy of data entry and scheduling.
  • Speed of response and resolution for inbound inquiries.
  • Positive feedback from clients and internal stakeholders.
