Job Summary
- Assist the Project Manager(s) / Project Director in planning coordinating and executing marine andoffshore projects from initiation through to completion.
- Support the preparation and maintenance of project schedules work plans and resource plans andmonitor progress against agreed timelines and milestones.
- Coordinate with internal departments (Operations Procurement HSE Crewing Finance) to ensuretimely and efficient delivery of project deliverables.
- Liaise with clients vendors subcontractors classification societies and regulatory bodies to facilitatethe smooth execution of project activities.
- Prepare and maintain project documentation including project plans progress/status reports meetingminutes correspondence and close-out reports.
- Track project costs and expenditures against approved budgets flag variances and support the ProjectManager in cost control and reporting.
- Assist in the tendering and procurement process including preparation of RFQs/RFPs evaluation ofquotations and coordination with vendors and suppliers.
- Monitor compliance with contractual obligations QHSSE standards and applicable maritime regulations(ISM Code ISPS OVID/OVMSA MLC) throughout the project lifecycle.
- Organise and participate in project meetings site visits and vessel inspections; prepare minutes ofmeeting and follow up on outstanding action items.
- Support risk identification and mitigation efforts on assigned projects escalating issues to the ProjectManager/Director in a timely manner.
- Assist in preparing project close-out reports lessons-learned documentation and handover materials forclients and internal stakeholders.
- Maintain accurate and up-to-date project records filing systems and databases to support auditsreporting and internal reference.
- Provide administrative and coordination support to the Project Director/Manager including schedulingcorrespondence and stakeholder follow-ups.
- Support business development activities such as proposal preparation and client presentations asrequired.
- Participate in the companys QHSSE initiatives contributing to safety meetings risk assessments andcontinuous improvement efforts.
- Any other ad-hoc duties as assigned.
Requirements
- Minimum Diploma/Degree in Project Management Business Administration Marine/Mechanical
- Engineering Maritime Studies or a related discipline or personnel with relevant equivalent experience.
- Familiarity with international maritime regulations (ISM ISPS OVID/OVMSA MLC) is an advantage.
- Strong organisational and multitasking skills; able to manage multiple project workstreams under timepressure.
- Excellent communication and interpersonal skills to work with multinational teams clients andstakeholders.
- Proficiency in MS Office (Excel PowerPoint Word) and familiarity with project management softwareis an advantage.
- Willingness to travel to project sites and client locations both locally and internationally as required.
Experience
- Minimum 2 to 3 years of experience in project coordination project execution or a similar rolepreferably within the marine offshore or shipping industry.
- Experience supporting vessel-related offshore construction or marine consultancy projects is preferred.
- Exposure to tendering procurement or contract administration is an advantage.
