Executive Shipping Operations
Job Summary
About the Role
The Executive Shipping Operations manages end-to-end shipping activities and shipping document verification to customs clearance coordination and freight dispute resolution. This role ensures accurate timely and compliant shipment execution across inbound and outbound operations while supporting team development and continuous improvement.
What You Will Deliver
Submit Purchase Orders (POs) to clients and verify Order Acknowledgements (OAs) and Proforma Invoices (PIs) against POs raising and resolving disputes with stakeholders for discrepancies in price and quantity
Process permits declarations upon receipt of Arrival Notices from carriers or forwarders and coordinate shipment release and clearance with authorized clearance agents
Arrange import and export permit applications for cargo clearance in a timely and compliant manner
Monitor cargo movements and proactively keep relevant stakeholders informed of shipment status delivery progress and changes
Conduct rate inquiries and prepare freight quotations across Incoterms including Free On Board (FOB) Free Carrier (FCA) Ex Works (EXW) and Free Alongside Ship (FAS)
Handle claims for damaged or short-received stock and manage disputes with carriers and forwarders for incidental costs including container repair demurrage and detention charges
Maintain complete and accurate shipment records including freight charges and customs-related documents
Verify vendor and haulier invoices and delivery notes prior to submission
Respond to customs broker inquiries resolve issues impacting import shipments and recommend updates to policies and Standard Operating Procedures (SOPs) based on regulatory changes
Track and analyse shipping performance metrics to identify trends and drive continuous improvement
Provide guidance and mentoring to junior staff and serve as backup to the Senior Executive
Administrative duties and coordination tasks as required
What You Bring
Diploma in Logistics Supply Chain Management or an equivalent qualification
Minimum 1 year of relevant working experience in logistics freight forwarding or supply chain operations
Proficiency in Microsoft Office applications including Excel Word and PowerPoint
Knowledge of Incoterms and Harmonized System (HS) codes is an added advantage
Meticulous independent and results-oriented with a positive and collaborative working attitude
