Customer Operations Representative
Job Summary
Job Summary:
The Customer Operations Representative is responsible for the accurate and timely execution of customer orders and delivery commitments. Working closely with Sales Technical (CPM) Production Procurement Supply Chain Logistics and Finance teams the role coordinates customer requirements from order receipt through fulfilment ensuring order accuracy effective communication and compliance with company procedures. This role requires strong organizational skills attention to detail and the ability to manage multiple priorities while delivering a high standard of customer service.
Responsibilities:
Customer Order Management
Process and release customer orders accurately ensuring all required information and approvals are in place.
Manage order configurations based on approved technical and product specifications.
Monitor order status delivery schedules and fulfilment activities proactively communicating any changes or delays.
Maintain accurate customer and order data within SAP and other business systems.
Coordinate with Planning Production Procurement Logistics and other functions to meet customer commitments.
Customer Service & Issue Resolution
Serve as the primary point of contact for customer enquiries relating to orders deliveries and product availability.
Provide professional and timely responses to customer requests via phone and email.
Investigate and resolve customer issues coordinating with relevant stakeholders to ensure satisfactory outcomes.
Develop and maintain positive customer relationships through responsive and reliable support.
Operations & Compliance
Prepare invoices shipping documents and other order-related documentation accurately and on time.
Ensure product specifications supporting documents and customer records are maintained in accordance with company procedures.
Perform system maintenance reporting data administration and other operational support activities as required.
Safeguard confidential customer and business information in line with information security and data privacy requirements.
Support compliance with applicable quality regulatory and business standards.
Collaboration & Continuous Improvement
Work closely with Sales Technical/CPM Production Procurement Logistics Finance and Quality teams to ensure seamless order execution.
Share relevant information proactively to support effective decision-making and workflow efficiency.
Identify and support initiatives that improve operational performance service delivery and customer experience.
Job Requirements:
Diploma or Bachelors Degree in Business Administration Supply Chain Management Logistics Operations Management or a related field.
Minimum 2 years of experience in customer operations customer service order management or supply chain operations.
Experience in a manufacturing technology or industrial environment is preferred.
Experience using SAP or a similar ERP system is advantageous.
Working knowledge of SAP S/4HANA or a comparable ERP system.
Proficient in Microsoft Office applications particularly Excel.
Strong organizational planning and time management skills.
Effective communication and interpersonal skills with the ability to collaborate across functions.
Strong problem-solving skills with the ability to identify issues and implement practical solutions.
High attention to detail and commitment to data accuracy.
Customer-focused with a commitment to delivering high-quality service.
Ability to manage multiple priorities and work effectively in a fast-paced environment.
