Job Summary

Executive Assistant

Compensation: $5/hour (USD)

Schedule: Full-Time: 40 hours per week (9am - 6pm US CST)

During tax season additional hours and weekend availability will be required as needed to meet client and firm deadlines.

Role Overview

Were seeking a highly organized proactive and professional Executive Assistant to provide remote support to two executives at our firm. This role is ideal for someone with strong communication skills and prior executive support experience who can manage priorities anticipate needs and keep day-to-day operations running smoothly.

We want to be very transparent - we are the place people go to grow not to relax. We are specifically looking for someone who thrives in fast-paced high-performance environments and wants to work closely alongside a highly active executive operating at a high level. This role is ideal for someone who is naturally responsive resourceful and eager to learn. If youre the type of person who doesnt fully switch work off enjoys staying engaged solving problems quickly and being deeply involved in business operations youll likely do very well here.

Youll have the opportunity to gain hands-on exposure to tax accounting firm operations executive decision-making and high-level business management while working directly with leadership.

We are looking for someone who is highly responsive quick-thinking dependable and capable of operating independently from day one in a fast-paced environment. We want someone who genuinely wants to work alongside high performers and contribute at a high level.

Key Responsibilities

You will play a critical role in helping manage communications operations client coordination scheduling and executive priorities while occasionally assisting with accounting-related administrative support and internal firm operations.   • Manage and maintain calendars for two executives including scheduling meetings and appointments

  • Coordinate internal and external communications on behalf of the executives

  • Assist with email management drafting responses and follow-ups

  • Organize meetings prepare agendas and track action items

  • Support travel planning (flights accommodations transportation itineraries)

  • Conduct research and assist with projects as needed

  • Maintain and organize digital files documents and records

  • Coordinate with vendors service providers and internal team members

  • Assist with basic reporting data entry and administrative tasks

  • Handle ad hoc requests and provide general executive support

Requirements

Must-have:

  • Eager to learn new systems operations tax/accounting workflows and business processes

  • Must be highly available and flexible including willingness to work overtime when necessary to support business needs

  • We expect strong performance initiative and accountability from the very beginning this role is not designed for heavy hand-holding or long ramp-up periods

Nice-to-have:

  • Experience working in a CPA firm tax office bookkeeping firm or legal office

  • Experience handling client communications in accounting or tax-related settings

  • Basic understanding of bookkeeping tax preparation workflows or accounting operations

  • Strong interest in learning more about tax accounting operations and business management
