Role Overview:
We are seeking an experienced Offshore Operations & Admin Coordinator to support our electrical services business. This is not an entry-level admin or executive assistant role. We are looking for someone with strong operational and administrative experience who can manage systems documentation and workflows with minimal supervision.
The ideal candidate is organised process-driven confident working autonomously and comfortable taking initiative to keep work moving without being chased.
Key Responsibilities:
Manage and maintain job and client records in SimPRO (or a similar job management system)
Document control including job files compliance documentation and internal records
Support project managers and operations with job setup scheduling and workflow coordination
Prepare and process invoices variations and supporting documentation
Maintain follow and improve internal admin and operations processes
Independently follow up tasks and close loops without prompting
Communicate clearly with internal team members to support smooth job delivery
Candidate Requirements:
Proven experience in operations project administration or senior administrative roles (Executive Assistant-only backgrounds are not suitable)
Strong experience working with business systems; SimPRO preferred or similar platforms
Demonstrated ability in document and process management
Excellent written and spoken English
Ability to work autonomously take initiative and problem-solve
Experience in trade construction or service-based businesses is highly regarded
Comfortable managing multiple priorities in a fast-paced environment
