Job Summary

Ventia is on the hunt for an experienced Contract Administrator to support our operations team in Whanganui. This role is responsible for contract administration tender submissions training coordination health and safety support and general office administration.

Key Responsibilities
Contract Administration
Prepare and submit monthly client claims
Maintain contract databases and electronic contract files
Follow up claims through to payment and resolve client queries

Tender Administration
Obtain and organise tender documentation
Prepare tender files schedules and supporting documents
Coordinate tender submissions and ensure deadlines are met

Training & Compliance
Maintain employee training and competency records
Coordinate training bookings and mandatory compliance requirements

Health & Safety Support
Assist with safety audits reporting and hazard management
Support incident investigations and corrective actions
Promote a strong safety culture across the business

General Administration
Provide administrative support to managers
Prepare correspondence reports and meeting minutes
Manage visitor and contractor sign-in processes
Support the efficient day-to-day operation of the office

About You
Minimum 4 years experience in an administration support role
Excellent written and verbal English communication skills
Strong Microsoft Office skills particularly Word and Excel
Highly organised with strong attention to detail
Ability to manage multiple priorities and meet deadlines
Experience in contract administration construction or infrastructure industries is advantageous
