Position Summary
The Operations Support Specialist provides administrative and logistical support to the transportation operations team. This role coordinates documentation assists with scheduling maintains communication with drivers and customers and helps ensure the smooth day to day functioning of transportation services.
Key Responsibilities
Assist with dispatching routing and scheduling of transportation activities.
Maintain communication with drivers vendors and customers to provide updates and resolve issues.
Monitor transportation systems and tools to track delivery status vehicle performance and route efficiency.
Prepare and manage transportation documentation including bills of lading manifests and compliance records.
Input and maintain accurate data in transportation management systems (TMS).
Support the Operations Manager with special projects audits and reporting.
Ensure compliance with DOT regulations company policies and safety procedures.
Respond to service disruptions and provide real time solutions to minimize impact.
Maintain organized files and records related to shipments equipment and maintenance logs.
Collaborate with internal teams including customer service and billing to facilitate operations.
Other duties as assigned.
Qualifications
High school diploma or equivalent required; Associates or Bachelors degree in Business Logistics or a related field preferred.
Knowledge and experience with DOT and transportation compliance regulations is a plus.
Skills
Proficiency in Microsoft Office Suite and transportation management systems (TMS).
Strong organizational and problem solving skills.
Excellent verbal and written communication skills.
Ability to work under pressure in a fast paced environment.
Daily Tasks
Enter quote opportunities from customer engagements (Email Phone Text)
Monitor assigned front email boxes for customer inquiries
Stay logged into Load One phone system
Review quotes created through AI for accuracy
Report inaccurate AI created quotes to Load One development team
Evaluate capacity options for potential quote to customer
Determine appropriate price to offer customer
Quote customers with a solution or response declining the opportunity
Accept customer awarded shipments and provide tracking and pro information
Utilize partner capacity platform or driver mobile app to communicate load opportunities
Evaluate partner options vs Load One fleet options before assignment to capacity source
Utilize the Load One scorecard process to offer and award shipments
Talk to capacity partners or Load One fleet to confirm assigned load awards
Discuss Load One and Partner quotes with those capacity sources to optimize margin
Communicate load tenders to capacity partners
Provide tracking updates to customers
Document all engagements with customers and capacity sources
Assist operations leadership in service recovery solutions
Support all customs and border requirements
Schedule Mexico partner capacity and drayage services
Utilize whats app as needed for customer and partner communications
