We are seeking a highly organized and proactive Executive Assistant to support senior leadership in day-to-day operations communication management scheduling and administrative coordination. The ideal candidate is detail-oriented resourceful and comfortable working in a fast-paced remote environment while collaborating with cross-functional teams across U.S. operations.
- Manage executive calendars schedule meetings and coordinate appointments across multiple time zones.
- Prepare meeting agendas take notes track action items and follow up on outstanding tasks.
- Coordinate internal communication document management and executive administrative support activities.
- Assist with reporting spreadsheet tracking presentation preparation and operational coordination projects.
- Maintain confidentiality while handling sensitive business and employee information.
- Bachelors degree or equivalent practical experience.
- 13 years of experience in an Executive Assistant Administrative Coordinator Operations Coordinator or similar support role.
- Strong proficiency in Microsoft Office and Google Workspace including Excel/Google Sheets Outlook/Gmail and PowerPoint/Slides.
- Excellent written and verbal English communication skills.
- Strong organizational skills with the ability to manage multiple priorities independently.
- Reliable internet connection and a professional remote work setup.
- Experience supporting U.S.-based executives or remote teams.
- Familiarity with tools such as Microsoft Teams Zoom Calendly or similar business applications.
- Experience with HR recruitment coordination or operations support is a plus.
- Prior experience in property management real estate or a fast-growing startup environment is preferred.
