SENIOR FUND OPERATIONS OFFICER

About the Role

As a Senior Fund Operations Officer you will play a key operational role in the management of our investment funds including open-ended funds and delegated structures. You will oversee the full operational lifecycle from investor onboarding to the management of external service providers ensuring operational excellence regulatory compliance and a robust control environment.

Key Responsibilities
Fund Operations & Oversight
  • Oversee the full administrative and operational lifecycle of internal investment funds.

  • Supervise activities delegated to external fund administrators ensuring compliance with agreed SLAs procedures and service standards.

  • Review operational deliverables and ensure timely and accurate execution of fund-related activities.

  • Monitor key operational deadlines and ensure appropriate follow-up with internal and external stakeholders.

Transfer Agency & KYC/AML
  • Coordinate and oversee the investor onboarding process including subscriptions redemptions transfers and investor register maintenance.

  • Coordinate KYC/AML documentation and processes with the Compliance team.

  • Ensure investor-related activities are completed accurately efficiently and in accordance with applicable regulatory requirements.

  • Follow up on outstanding investor documentation and operational issues.

Service Provider & Stakeholder Management
  • Act as a central point of contact for key external stakeholders including:

    • Central Administrators

    • Depositaries

    • Auditors

    • Legal advisors

    • Banks and other financial institutions

  • Coordinate requests and ensure timely resolution of operational matters.

  • Monitor the quality and performance of external service providers and escalate issues where appropriate.

Governance & Corporate Administration
  • Coordinate fund governance requirements and key corporate deadlines.

  • Prepare and follow up on governance meetings resolutions and relevant documentation.

  • Coordinate major fund events including fund launches restructurings mergers and liquidations.

  • Support regulatory requests and ensure that required information and documentation are provided within deadlines.

Internal Controls & Continuous Improvement
  • Develop and maintain effective operational procedures controls checklists and process documentation.

  • Identify and assess operational risks and implement appropriate mitigation measures.

  • Monitor operational incidents and ensure appropriate escalation and remediation.

  • Identify opportunities to improve processes enhance efficiency and strengthen the overall control framework.

Profile
  • Experience: 810 years of relevant experience in Luxembourg within fund administration Transfer Agency Investor Services Fund Operations or a similar environment.

  • Technical Expertise: Strong knowledge of Luxembourg investment fund structures including AIFs evergreen structures and other alternative investment vehicles.

  • Solid understanding of Transfer Agency investor onboarding KYC/AML processes and corporate governance requirements.

  • Experience working with external fund administrators and other key fund service providers.

  • Strong analytical and control-oriented mindset with excellent attention to detail.

  • Highly autonomous organised and capable of managing multiple priorities and deadlines.

  • Excellent communication and stakeholder management skills with the ability to interact confidently with a wide range of internal and external counterparts.

  • Languages: Fluent English both written and spoken. Knowledge of another European language is considered an advantage.
