Executive Assistant II
Job Summary
Key Responsibilities:
Manage and maintain the executives calendar including scheduling meetings appointments and travel arrangements.
Prepare review and organize correspondence reports presentations and other documents.
Act as a primary point of contact between the executive and internal/external stakeholders demonstrating professionalism and confidentiality.
Coordinate and facilitate high-level meetings including preparing agendas taking minutes and following up on action items.
Handle sensitive and confidential information with discretion and integrity.
Assist in the preparation of reports presentations and other materials for meetings and strategic initiatives.
Manage expense reports budgets and procurement processes related to the executives office.
Support special projects and initiatives as assigned by the executive team.
Liaise with other departments and external partners to ensure seamless communication and coordination.
Anticipate needs and proactively address potential issues to support the executives productivity.
Maintain organized filing systems both electronic and physical.
Required Skills & Experience:
5 years of experience as an Executive Assistant or in a similar senior administrative role.
Exceptional organizational and time-management skills.
Strong written and verbal communication skills.
High level of discretion and confidentiality.
Proficiency in MS Office Suite (Word Excel PowerPoint Outlook) and calendar management tools.
Ability to multitask and prioritize in a fast-paced environment.
Strong problem-solving and decision-making abilities.
Excellent interpersonal skills and professionalism.
Experience supporting C-suite executives or senior leadership.
Preferred Qualifications:
Bachelors degree or equivalent professional experience.
Experience with travel booking and expense management tools.
Familiarity with project management tools or enterprise software.
Ability to adapt to changing priorities and work under pressure.
