Role Overview
We are seeking a highly organized and detail-oriented Executive Assistant to provide high-level administrative support to senior leadership including Chief Medical Officers. This role requires strong communication skills discretion and the ability to manage multiple priorities in a fast-paced healthcare environment. Candidates with experience supporting large healthcare systems or hospitals are strongly preferred.
Key Responsibilities
Provide executive-level administrative support to senior leadership
Manage complex calendars schedule meetings and coordinate logistics
Prepare edit and format documents reports and presentations
Handle correspondence and maintain strict confidentiality
Organize meetings prepare agendas and document meeting minutes
Coordinate conference rooms and virtual meetings (Teams/Zoom)
Maintain digital and physical filing systems
Support procurement processes and track vendor invoices
Ensure compliance with data privacy and security standards
Assist in preparing executive and board-level presentations
Manage sensitive information with a high level of discretion
Required Qualifications
Bachelors Degree (Masters preferred)
Minimum 2 years of experience in administrative or executive support roles
Experience supporting healthcare environments or large hospital systems
Proficiency in Microsoft Office Suite (Word Excel PowerPoint Access)
Strong written and verbal communication skills in English
Excellent organizational and multitasking abilities
Preferred Skills
Experience with Google Workspace Outlook and Microsoft Teams
Knowledge of data management and reporting
Experience coordinating virtual meetings and executive calendars
Familiarity with procurement processes and invoice tracking
Ability to prepare executive-level and board-ready materials
Strong attention to detail and prioritization skills
