Project Coordinator
Job Summary
An experienced Assistant Project Management professional responsible for assisting in leading projects from inception through completion while ensuring successful delivery across multiple sectors. The role focuses on project governance stakeholder management risk and cost control contract administration scheduling reporting and PMO support. The individual works closely with clients consultants contractors and internal teams to drive project performance ensure compliance with contractual requirements manage risks and compensation events and maintain budget and schedules.
- Collaborate with the team to deliver a comprehensive range of Project Management and Design Management duties from project inception to completion.
- Ensure effective delivery of Project / Design Management services across various market sectors.
- Support in developing the Project execution plan and all other project management plans (Quality Design Risk opportunity project controls communication scope change project close out stakeholder information management plans) establish review approval variation and reporting procedures. Prepare recommendations for the Clients approval.
- Support in preparation of Letters of Acceptance (LOAs) Scope of Agreements (SCAs) and other contractual documentations.
- Support in managing Early Warning Notifications and Compensation Events. Facilitate set up and manage early warning and risk reduction meetings.
- Support in preparation of a risk management strategy. Prepare and maintain a risk register.
- Issue instructions on behalf of the Client to the Professional Team and Contractor in accordance with the terms of their Appointments/the Building Contract.
- Follow up the design technical delivery team Support the PM / DM / APM to report to the Client.
- Support the design manager (DM) in design-related follow-ups and technical coordination.
- Support the design manager (DM) in leading the subconsultants and their related deliverables.
- Attending technical coordination meetings with the technical design team to identify the task lists trackers.
- Support in preparation and maintaining the Programme for the design procurement and construction of the Project. Monitor actual against planned progress.
- Check applications for payment from the Professional Team check other invoices related to the Project.
- Support the PM/APM in monitoring the projects budget and expenditures.
- Support in Standardize/ automate/ develop processes and tools to track and analyze the project costs including budgets commitments actuals accruals forecasts contingencies analysis.
- Drive continuous improvement automation lean techniques to drive consistency and efficiencies across projects programmes and portfolios.
- Support in monitoring program meetings and validating updates and milestones achievement.
- Support stakeholder engagement across the programme including senior members of the Clients Team.
- Work closely with other members of the Programme Team to create reports understand the data create actions and manage them through to completion.
- Set up progress reporting systems support in creating technical scopes and agreements (main & sub-consultant) monitor budgets attend stakeholder meetings and coordinate actions risk and issue tracking.
- Facilitate information requirements create milestone trackers verify deliverables track client comments
- Verification of Deliverables to ensure compliance to OCRA process and Scope Compliance Matrix.
Minimum requirements
- 4 - 7 years of relevant experience.
- Proficiency in English particularly in speaking writing clear and concise reports emails and documentation.
- Bachelors / masters degree in engineering design project management/ construction management (Architecture or Civil) background is mandatory.
- Strong verbal and written communication skills is essential.
- A result oriented individual able to handle stakeholders with a strong ability to influence guide and provide critical feedback. ability to manage multiple projects
Desired requirements
- Min of 4 years hands exp in projects management design management in an international environment with Experience in the consultancy field.
- Expertise in Office 365 Apps.
- Knowledge of MS Project Primavera P6 Power BI & Data Analytics automation using Smart sheets & advanced Excel.
- Experience in leading and managing or working in multi-disciplinary teams.
- Sound knowledge in all aspects of project controlling and reporting with special focus on trend analysis and forecasting. Solid hands-on experience into analytical / data interpretation skills.
- Sound knowledge of technical design projects phases.
- Certified Project Management Professional (PMP) / RICS or equivalent credential(s) is a plus.
- Knowledge of FIDIC contracts familiarity with RIBA plan of works.
