About the Role

We are looking for a motivated and organized Working Student (m/f/d) - Administration to support our HQ office with a variety of administrative and organizational tasks. This role offers hands-on experience in office management event coordination travel organization and day-to-day business operations. You will work closely with different teams and help ensure a smooth and efficient office environment.

Your Responsibilities

Office Management & Administration

  • Support the day-to-day operations of the HQ office

  • Assist with correspondence letters and document preparation

  • Manage office supplies and coordinate orders when needed

  • Support filing record-keeping and administrative processes

  • Help maintain accurate administrative documentation and databases

Meeting & Event Support

  • Assist in organizing internal meetings workshops and team events

  • Prepare meeting rooms presentations and materials

  • Coordinate meeting logistics invitations and schedules

  • Support guests and visitors during office events

Travel & Logistics Coordination

  • Assist with booking business travel accommodation and transportation

  • Support travel documentation and expense-related administrative tasks

  • Coordinate logistics for visitors employees and external partners

General Business Support

  • Provide administrative support to different departments and stakeholders

  • Assist with invoice processing and procurement-related activities

  • Help coordinate internal communication and office announcements

  • Support special projects and ad hoc administrative tasks as required

What You Bring
  • Currently enrolled in a university program ideally in Business Administration Management Economics Communications or a related field

  • Strong organizational skills and attention to detail

  • Proactive and service-oriented mindset

  • Good communication and interpersonal skills

  • Ability to manage multiple tasks in a structured manner

  • Proficiency in Microsoft Office (Outlook Word Excel PowerPoint)

  • Fluency in German and English

  • Must remain enrolled as a student for at least 1-2 additional years

  • Availability to work 20 hours per week during the semester
