Job Summary
Veterinary Programme Coordinator
Reports to: Head of Short Courses
Location: Primarily home-office based with regular travel to courses congresses and professional events
The Role
We are looking for a highly organised coordinator with a background in the veterinary sector to support the day-to-day delivery of our Short Course portfolio.
You will make sure our courses run smoothly from start to finish. Youll work closely with speakers venues and internal teams to handle scheduling logistics accreditation
paperwork and course preparation. Youll work alongside the Head of Short Courses and help turn agreed course plans into well-run events.

paperwork and course preparation. Youll work alongside the Head of Short Courses and help turn agreed course plans into well-run events.
Key Responsibilities
Course Coordination & Delivery
- Coordinate the preparation and delivery of assigned courses in line with agreed timelines and checklists.
- Organise speakers schedules venues meeting rooms hotels catering equipment and travel.
- Act as the day-to-day contact for speakers on logistics course materials and deadlines.
- Keep course plans trackers and internal systems accurate and up to date.
- Work with Operations Marketing Sales and Digital to make sure information materials and bookings are ready on time.
- Spot issues early and fix routine problems escalating to the Head of Short Courses where needed.
- Attend selected courses to support on-site delivery.
Speaker Coordination
- Handle speaker communication contracts briefings and follow-up.
- Help find and approach potential speakers as directed by the Head of Short Courses.
- Keep speaker information and contact records current.
Accreditation & Compliance
- Prepare and submit accreditation and CPD applications and documentation tracking deadlines.
- Coordinate specialist approval processes including X-ray and CT-related requirements where applicable.
- Keep accreditation records complete and organised.
Feedback & Improvement
- Collect and summarise participant and speaker feedback after each course.
- Suggest practical improvements to course processes and logistics.
Requirements
- Background in the veterinary sector e.g. as a veterinary nurse/TFA or in practice management or veterinary education. A veterinary degree is welcome but not required.
- Good understanding of the German veterinary profession.
- Experience in course event or project coordination.
- Very well organised and detail-oriented and able to manage several courses at once.
- Confident friendly communicator with speakers partners and colleagues.
- Comfortable with standard office tools and booking/CRM systems.
- Fluent German and English.
