Administrative documentation and digital collaboration support to the engineering PMO and quality teams
Terma is looking for a Programme & PMO Support Officer to join our team at the Headquarters of the European Union Agency for the Space Programme (EUSPA) in Prague Czech Republic. You will be the administrative backbone of several technical departments at once: keeping the staff-movement database for engineering consultants accurate issuing and following up documentation tickets and collecting signatures organising everything from the weekly departmental meeting to complex external events with launch service providers and making sure the documents presentations and shared repositories of the Project Management Office and the Quality function are complete correctly formatted and easy to find.
It is a genuinely varied role for an organiser someone who enjoys being the person who knows where the document is whether the signature has come back and who still owes an input and who takes quiet satisfaction in a meeting that runs smoothly and minutes that are out the same day. You will work shoulder to shoulder with engineers project managers and quality specialists in an international and multicultural environment on the programmes behind Galileo EGNOS and Copernicus. The position is based on site in Prague and for reasons of access to the customers premises and information is open to EU citizens only. Planned start: end of 2026.
The position will include tasks such as:
Programme and engineering administration
- Manage the staff-movement database for engineering consultants: on-boarding and off-boarding contract dates and changes.
- Administer the departmental documentation: issue and follow up RUE-CADM and RCO tickets collect the required signatures and archive the completed records.
- Submit documents into the customers systems and launch the associated approval workflows.
Meetings events and minutes
- Plan and coordinate the regular departmental meetings including the agenda and calendar coordination with internal and external stakeholders.
- Organise complex and external meetings ISAC launch services contract milestones and training events including logistics abroad visitor lists attendance sheets and invitation and distribution lists.
- Draft the meeting notes and minutes using the applicable templates and circulate them to the participants.
Support to the Project Management Office and Quality function
- Provide day-to-day administrative support to the PMO and Quality teams: document editing workflow launching submissions and follow-up.
- Organise and maintain the archives databases and tracking files of both functions.
Documents presentations and publication quality
- Proof-read and format documents before publication so that what leaves the department is correct and consistent.
- Prepare edit and review presentations and maintain the departments document templates.
Digital collaboration repositories and access
- Maintain the shared repositories document libraries and digital archives in SharePoint and the document management system.
- Create and administer Teams channels and create access links and manage access rights for external stakeholders.
- Provide first-line support to colleagues on the collaboration tools and set up and support the technical side of MS Teams meetings.
Key Qualifications
Mandatory requirements
- EU citizenship only candidates holding the citizenship of an EU Member State can be considered; an EU work visa or residence permit is not sufficient for this contract.
- At least 1 year of professional experience in services of a similar nature (contractual minimum for this framework contract).
- English at CEFR level B2 as a minimum written and spoken and demonstrable in your CV it is the working language of the customer.
- An up-to-date CV in English preferably in Europass format stating your name and surname.
Education and experience
- Post-secondary education in administration business administration information management ICT quality or project support or a comparable technical or engineering support background.
- 1 to 3 years of relevant professional experience as a team assistant project or programme support officer document controller office administrator or in a comparable role.
- Experience supporting a technical engineering or project-driven department is a strong asset for this position.
- Experience in organising meetings and events with external participants including travel and logistics is a strong asset.
- Experience in administering SharePoint sites Teams channels or a document management system is an advantage.
- Experience gained in an international organisation EU institution or agency or in a multinational company is an advantage.
Skills and competencies
- Very good command of MS 365 Word Outlook Excel trackers and PowerPoint and confident hands-on use of SharePoint Teams and OneDrive including document libraries channels and access rights.
- Familiarity with a ticketing tool such as Redmine and with a document management system is an asset full training on the customers tools is provided.
- A genuinely good eye for a document: you notice the inconsistent heading the wrong version number and the missing signature before anyone else does.
- Excellent sense of organisation: able to serve three departments in parallel keep track of many open items and never lose a deadline.
- Clear concise drafting in English in particular for meeting notes and minutes.
- Service-minded and approachable colleagues at all levels come to you for practical help and external partners meet you first.
- Discretion and integrity in handling contractual personal and commercially sensitive information.
- Proactive and self-directed: you spot what needs to be done and follow it up until it is closed.
- Team player comfortable in a multicultural environment; an interest in space and the EU space programme is a plus.
- Knowledge of Czech or another EU language is an asset but not a requirement.
