LightForm is looking for an organized proactive and customer-focused Sales Operations & Showroom Coordinator to join our Calgary team.

This is a hands-on role that combines sales support quotation coordination customer service and showroom operations. Youll work closely with our Calgary sales team while also collaborating with LightForms national Sales Support team.

The right person is highly organized detail-oriented and comfortable managing multiple priorities. Were looking for someone who takes ownership of their work communicates well works effectively with others and can solve problems without needing constant direction.

This is a full-time in-person position based at our Calgary showroom in the Beltline.

Schedule:
Week 1: Monday to Friday
Week 2: Tuesday to Saturday

• Support the sales team with day-to-day sales activities quotations and customer requests.
• Prepare and revise standard and quick-turn quotations accurately and within required timelines.
• Assist with product selection pricing specifications and supporting documentation.
• Follow up on outstanding information required to complete quotations and customer requests.
• Maintain accurate quote information and help ensure active opportunities are properly followed up.
• Process standard sales orders and verify customer product and pricing information.
• Coordinate routine product pricing availability lead-time and documentation requests with vendors.
• Assist Account Executives with active opportunities project follow-up and customer requests.
• Support specification packages presentations and other sales materials.
• Maintain accurate customer quotation and project information in NetSuite and other internal systems.
• Escalate complex technical or high-value project requirements to the appropriate internal resource.
• Assist with sales reports follow-up lists and other sales administration as required.
• Work with Sales Support colleagues across Canada when additional support or coordination is required.

Our Calgary showroom is an important part of the LightForm customer experience. This position shares responsibility for ensuring the showroom is professional organized and ready for customers at all times.

Responsibilities include:

• Welcome showroom visitors and provide a professional and helpful customer experience.
• Assist with showroom appointments customer visits presentations and events.
• Complete daily showroom opening and closing procedures.
• Ensure lighting displays signage and equipment are operating and presented properly.
• Keep displays samples catalogs and work areas clean organized and presentation-ready.
• Assist with receiving organizing and maintaining showroom samples and materials.
• Perform routine showroom upkeep including tidying dusting vacuuming and maintaining displays as required.
• Assist with preparing the showroom for customer events presentations lunch-and-learns and other activities.
• Proactively identify showroom issues and communicate them to the appropriate manager.
• Take shared ownership of maintaining a professional showroom environment rather than waiting to be asked.

• Previous experience in sales support customer service project coordination administration retail or hospitality is an asset.
• Experience preparing quotations estimates proposals or sales orders is an asset.
• Experience coordinating multiple projects requests or deadlines is an asset.
• Lighting electrical architecture interior design or construction industry experience is an asset but not required.
• A diploma or degree in Business Administration Interior Design Architectural Technology Electrical Engineering or a related field is an asset but not required.
• Strong computer skills including Microsoft Office and email.
• Experience with CRM or ERP systems is an asset.
• Must be able to work full-time in person at our Calgary showroom and work the rotating Saturday schedule.
