About the Role
We are seeking an energetic organized and creative Operations and Marketing Coordinator to join our fast-paced team. This is a newly created role designed to support our ongoing business growth and expanding course offerings. In this hybrid role you will serve as the primary face and voice of our organization delivering exceptional customer service to our students while keeping our office studio and marketing initiatives running smoothly
The ideal candidate is comfortable working in a fast-paced environment is a strong problem-solver can manage busy calendars and has an eye for graphic design and marketing.
Workdays: Saturday Sunday Tuesday Wednesday Thursday (Full-Time; Days off: Monday & Friday)
Location: In-office with flexibility for occasional remote work on select weekends when lectures/tasks allow.
Responsibilities
- Act as the first point of contact for student inquiries via phone and email providing prompt professional and friendly assistance.
- Ensure a welcoming and organized office environment including tracking and restocking kitchen and facility supplies.
- Support the onboarding and offboarding of team members.
- Process contractor invoices and keep track of incoming receipts.
- Organize and book schedules for lecturers across different cities including our clinical injection courses.
- Set up on-site studio equipment and space before live and recorded lectures begin.
- Provide tech support and administrative help to remote lecturers and team members during live sessions and trainings.
- Design graphics flyers social media posts and course handouts using Canva or other design software.
- Assist with the setup delivery and tracking of promotional marketing campaigns.
Qualifications & Requirements
- University degree in a related field (e.g. Communications Marketing Business Administration) or 12 years of relevant practical experience in an administrative customer service or marketing support role.
- Proficient with Microsoft 365 (Word Excel Outlook Teams).
- Comfortable using Canva (or similar graphic design software).
- Basic coding knowledge (HTML/CSS) is a plus but not required.
- Excellent phone and written communication skills; comfortable greeting students and being the public face of the company.
- Thrives in a fast-paced environment and is available to work full-time hours including weekends.
