Position Status: Part-time (min. 16 to 30 hours/week) Permanent

The Otipemisiwak Métis Government is recruiting for a part-time Administrative Assistant to support the Environment and Climate Change team. Reporting to the Director of Environment & Climate Change (ECC) this position will be responsible for ensuring smooth day-to-day operations of the ECC department. The successful candidate will handle office tasks; provide polite and professional assistance via phone mail and email; assist in implementing effective filing and finance management processes; and be a helpful and positive presence in the workplace. The Administrative Assistant will be a master multi-tasker with excellent communication skills and an upbeat attitude and will be required to take direction and work intuitively to support the completion of the departments goals and objectives in a professional and culturally appropriate manner.

Key Responsibilities

  • Ensure that administrative activities are delivered in a timely and efficient manner.
  • Work cooperatively with all team members to support the achievement of work plan activities and actively participate in the departments team meeting and planning sessions.
  • Assist with expense tracking purchase orders and other administrative financial processes.
  • Process and record payments accurately and in a timely manner ensuring all transactions are properly documented and reconciled.
  • Enter and process invoices and expense claims with accuracy.
  • Perform clerical functions such as receiving visitors arranging conference calls and scheduling meetings for department staff or designates.
  • Prepare distribute and appropriately file meeting agendas records and meeting minutes.
  • Prepare and complete internal and external correspondence including legal documents forms letters reports presentations and other documents.
  • Maintain accurate and organized electronic and physical records.
  • Assist with administration of Otipemisiwak Métis Government provincial events & programs and coordinate and complete special projects.
  • Assist in planning organizing coordinating and implementing various operational programs.
  • Order supplies and track inventory for department programming and events.
  • Book travel accommodations.
  • Present a positive and professional image of the organization when interacting with employees citizens visitors and other external stakeholders.
  • Maintain a high level of cultural sensitivity professionalism and confidentiality in all interactions and when handling sensitive documents.
  • Provide general administrative support to department staff and assist with other duties as required.
  • Other duties as required or assigned.


Skills & Competencies

  • Recognized strength in supporting teams and providing administrative and clerical support to add to organizational capacity.
  • Proficient in Microsoft Office programs (including Word Excel and SharePoint).
  • Superior written and verbal communication skills including professional email etiquette.
  • Strong planning and organizational skills with an ability to organize and prioritize daily tasks and long-term objectives.
  • Excellent interpersonal skills with the ability to build strong working relationships.
  • Ability to work independently as well as part of a team.
  • Willingness to learn and develop new skills.
  • Flexible and adaptable with an ability to switch between multiple priorities.
  • Ability to work with and convey messages to different audiences.
  • Political and cultural sensitivity.
  • Knowledge of Métis history culture and issues affecting Métis people. An in-depth understanding of the Otipemisiwak Métis Government and Métis culture people and values is an asset.

Qualifications

  • Administrative certificate/diploma or education in a related field is an asset. Other relevant training and/or experience is considered valid.
  • Minimum of two (2) years of experience in a similar administrative or receptionist role preferably within a government non-profit or Indigenous organization.
  • Minimum of two (2) years of customer service experience required.
  • Knowledge and/or experience in environment climate change and sustainability is an asset.



Other Requirements

  • Availability to work part-time hours during regular office hours Monday to Friday 8:30am to 4:30pm with flexibility to work occasional evenings and weekends as required.
  • Ability to work in-office in Edmonton Alberta.
  • Ability to travel throughout Alberta if given notice.
  • Reliable transportation and a valid Class 5 Drivers License
  • Acceptable attainment of a Police Information Check is required.
