Job Summary

Position Title: Office Manager

Salary range: $75000 to $85000
Byron Bay Hot Bread Kitchen is looking for a hands-on Office Manager to work closely with the owners and help manage the day-to-day administration and operations of our busy bakery.
This is a dynamic central role covering office administration wholesale orders stock control supplier relationships deliveries and general coordination across the bakery. Key Responsibilities
  • Manage day-to-day office administration records correspondence and filing.
  • Work closely with the owners to organise priorities and follow up on operational matters.
  • Handle roster adjustments leave requests and shift coverage for unexpected staff absences.
  • Assist with staff administration onboarding documentation timesheets and daily coordination.
  • Assist with the preparation of wholesale orders and plan daily delivery runs.
  • Make deliveries and visit wholesale customers when required.
  • Liaise with production retail and wholesale staff to keep daily operations running smoothly.
  • Maintain stock records and monitor packaging ingredients and finished goods.
  • Implement and monitor waste reduction programs including FIFO stock rotation.
  • Raise purchase orders and liaise with suppliers regarding pricing quality and availability.
  • Coordinate invoices credits and supplier documentation with the owners.
  • Negotiate and manage vendor relationships to implement cost-saving procurement strategies.
  • Inspect products to ensure they meet strict quality standards.
  • Train staff on proper food handling procedures cleanliness and sanitation.
  • Maintain the cleanliness and sanitation of baking tools equipment and production areas.
  • Schedule preventive maintenance and coordinate with service vendors to minimise downtime.
  • Coordinate maintenance and repairs for the building premises when required.
  • Help the owners with general business administration and miscellaneous duties as required.


Requirements
  • Proven experience in office management administration or a similar operational role (experience in hospitality baking or food manufacturing is highly regarded).
  • Experience with staff scheduling and roster management.
  • Strong organizational skills with the ability to manage multiple priorities at once.
  • Excellent communication and negotiation skills for managing staff and vendor relationships.
  • A valid Australian drivers licence (required for customer deliveries and site visits).
  • A proactive problem-solving mindset and a willing "hands-on" attitude.

    Required Skills:

    Minimum 3 years of commercial baking experience or A relevant qualification such as Certificate III in Baking (or equivalent) Proven ability to produce high-volume bakery items without compromising quality Strong understanding of dough fermentation proofing and baking techniques Comfortable working early mornings weekends and under time pressure Excellent attention to detail cleanliness and consistency Desirable: Experience with sourdough and slow-fermentation breads Pastry or viennoiserie skills Food Safety/HACCP certification
